Blackbaud’s Education Management Solutions: What’s New For May 30, 2023

Here are the latest changes, updates, and new features for the Education management products for May 30, 2023.

Learning resources

Annual procedures

As the end of the academic year news, admins should prepare to complete their annual procedures. To get started, view the online help.

Platform managers can now also access this tutorial from the Tasks section of their Home page in Core. Next to the option to Go to Education area, select the “i” (information) icon. A tip will appear. Use the link in the tip to access the tutorial. You’ll find the lists in the Education area.

Academics

Generating Word documents from old transcript templates

For schools still using Old Transcripts, the new 360 Academic Profile now supports the ability to download student transcripts as Word documents.

When a template created in the Old Transcript Builder has the option selected to Allow grading manager to export to Word, a download icon appears on the student’s Performance tab beside the transcript name. This feature matches the functionality of the old Academic Profile.

For a modern transcript building experience with more customization options, we recommend using the modern Transcript Builder. See the help topic Transcript Builder for more information.


Core

Configure a custom text/message for “Privacy settings”

Previously, we enabled platform managers to configure a customized message that will appear above each user’s Privacy setting page. This message will now appear under the heading for Privacy settings and above the heading for General settings.

We recommend you use this message to hyperlink users to your school’s privacy policy and any other information needed to comply with privacy laws. Consult your legal resources and visit the online help for more information.

Remember, platform managers can also customize various messages and labels throughout Blackbaud Education Management. Do this from Core, Settings, Custom labels & text, Custom text messages.

Previously, one of the items you could edit was called Sign in help/Request login. This item is now called Login page information. We’ve also updated the description that helps you determine what to enter for this item.

  • “Enter text that will appear in a pop-up when a user selects More information from the login page. Consider including information required for compliance with privacy laws. Consult your legal resources and visit docs.blackbaud.com/privacy for additional details.”

For example, consider adding a hyperlink to your school’s privacy policy.

Additionally, the phrase “Login help” previously appeared above your message when users viewed your custom content. Now, when your message appears, the header “Login help” does not appear above it.

Finally, we renamed Authentication rules. This feature is now called Login page settings instead. Platform managers will continue to access it from the same location in Core, Security, Authentication settings.

You’ll use this page to:

  • enable or disable the More information link that appears on the login page. If the link is enabled, the custom message you previously configured for the Login page information will appear.
  • edit the label for the link. For example, you could change “More information” to “Login and privacy info.”
  • edit the label for the Blackbaud ID Username field. For example, you could change it to “Email address.”

Roles and tasks - Join the early adopter program (EAP)

Schools can contact their Blackbaud account representative to ask to join an early adopter program (EAP) which significantly enhances the experience for managing roles and role membership.

As a participant in the EAP, platform managers can:

  • see detailed descriptions of the features and data that each role and task enables users to access, with related tasks organized into domains,
  • see a comprehensive list of reports that correspond to each role and task; and quickly access the reports tab via the number in the roles list,
  • enable and disable tasks in bulk for newly cloned roles, or while editing an existing role,
  • remove roles your school previously created which you no longer need,
  • manage role members and quickly access the members tab via the number in the roles list,
  • view an audit history of each role,
  • and search the list of role, select which columns of data to view, filter the list to limit results, sort data by selecting a column header, and reorder columns by dragging and dropping the column headers.

Enrollment management

Dashboard Counts for Event Registration Forms

The dashboard counter no longer includes Event Registration Forms that are missing/not using a Candidate Block. As such, admissions managers will now see a count that only includes forms that include a candidate and can be processed through the Processing Center.

Introducing the Event Form Submissions List

When viewing the new Event management experience, admissions managers can now select the number of form submissions displayed for the listed events. This will open the Registration form submissions list which shows all the data collected in the event registration form and important details like when it was submitted, address information, who submitted it, and more. There's a search bar to help find a specific submission, and the Columns option can be used to further customize the data that is being displayed by adding new columns or removing unneeded ones.

Admissions managers also have a few more options at their disposal. They can either export this list into a CSV file or select View Registration to generate a print friendly version of that specific form.


Financial Aid management

Delete family’s data at their request

To assist schools in complying with US privacy laws, Advanced School Users can now delete a family's information at their request. Deleting a family permanently and irreversibly removes their account, application, and documents for all years that they exist in BBFAM.

Delete a family:

  1. Select Families > Manage Families.
  2. Search for the family and select their name under Family Name.
  3. Select Security from the menu on the left.
  4. Select Delete Family.
  5. A warning message explains that proceeding will permanently delete the family's account, application data, and documents for all years the family exists in BBFAM.
  6. To proceed with the deletion, select Yes. To exit without deleting the family, select Cancel.

Subscribe to “What’s New”

To receive email notifications when the What’s new update appears, make sure to subscribe to the K12 community’s blog by logging into the community site and selecting the Subscribe button.

To manage your community subscriptions:

  1. Log into the community and locate your name and profile picture in the upper right corner.
  2. Select the drop-down arrow and select My Account.
  3. From the My Account page, select the Subscriptions tab and scroll down to the Blogs section.
  4. Locate Blackbaud K-12 Education solutions Blog. If you want to be notified as soon as the What’s new content goes live on the community, select the Instant option. You can also opt for Daily and Weekly notifications.
  5. Scroll to the end of the page and select Save changes.

Glad to see Enrollment Management Events is getting some work. Are there any plans to add the BB user IDs to Enrollment Management -→ Event Registration -→ Attendees list. When I try to export attendees for any of our admissions events, it doesn't give any unique identifiers like my School Forms do in ACADEMICS and CORE. The only unique identifier is the email address, which the event retains if the candidate ever requests to change their email address during the process.

Hey Grant! I forwarded your note to the EMS team, though I can say there isn't anything on the immediate radar for a unique identifier in the attendees list. However, that's not to say it'll never happen, but for now, I'd highly recommend putting your suggestion into the Idea Bank here in the community to not only get awareness on it, but to hopefully get it some traction as well.
