4 Tips to Ensure EOY Email Success with eTapestry

Congratulations on another spectacular year!  We in the Customer Success world hope you have been able to easily raise money with your eTapestry solution.  Now that we are rushing headlong into the end of the year, you may be prepping for your final mailings to hopefully push your organization over the top of your 2019 goals.  Customer Success wants to make sure that we are also helping you with some tips to ensure the best possible success!

1. Avoid email rush hours
During high traffic days, like Giving Tuesday, we saw big clumps of emails going out at the top of the hour, especially during prime sending times like 8 a.m., 3p.m., and 7 p.m. Eastern.
  • Schedule Sends for "odd" times (i.e. 9:10 a.m. EST or CST).  The email will process more quickly, and it eliminates congestion.  It'll also help to separate your mess from any other bulk senders across the world also sending their end of year mailings during "peak" times.
  • Think of your own inbox on Giving Tuesday this year, as well as these final weeks of the year as organizations are sending out their final bulk emails to their constituents.  You were more likely lto look at the ones that came in on their own rather than those that came in with a group of 20 other messages.
2. Make sure your email list is clean
This should be an ongoing process for you throughout the year, but it is most important at the end of the year because the more emails you are attempting, the longer it might take to complete an email job.  If you use Advanced Mass Email inside eTapestry, we definitely recommend looking over your Delivery Report.  This will help you find people who have duplicated email addresses or are not being successfully delivered to in past email jobs.  Within the Report, you can create a custom query and either export it to hold for your own purposes, or use in future mailings.  Click here to find out more about how to make that list!

3. Less is More!
Always make sure you are staying concise and to the point with your messaging.  The sooner you can cut to the chase for what you are asking your recipients to do (donate, volunteer, etc.) the more likely your recipients will respond the way you want.  The longer the email, the more text, or the more difficult it is to find the link you want them to click, the less likely it will be your constituents will complete the call to action.  To learn more about this tip, check out our Email Marketing 101 in eTapestry Jump-Start video!

4. TEST TEST TEST!
Before sending out any mass mailing, you should be testing your email.  You will also be able to run a SPAM Check in the same step.  To run a test email and a SPAM check, click here and you will be given directions.  This can also provide you guidance on what is in your email that might register as spam in a recipient's inbox.  So with each draft, be sure to take advantage of this feature - if for no other reason, you can make sure any and all links in your emails will send recipients to the correct sites.
