Gift Processing and Donor Data Manager - Hetrick-Martin Institute, NYC

Purpose of the Role:

The Gift Processing and Donor Data Manager (GPDDM) role oversees the daily operations, gift processing, data reporting and data integrity of the donor database, and creating and managing web and email platforms for donor engagement.

Essential Functions:

Gift Processing & Reporting:

1. Manages Raiser’s Edge NXT database—enter gifts, payment processing code and track appeals, and generate acknowledgements, receipts and other donor-related correspondence (pledge reminders, matching gift forms, etc.) in a timely manner and with great attention to detail.

2. Trains and supervises others staff and volunteers to perform above functions, as needed.

3. Matches and Batches; prepares, copies and distributes gift materials to appropriate Agency departments.

4. Maintains Development department budget records.

5. Reconciles gifts with Development/Finance on a monthly basis.

6. Tracks and invoices outstanding donor pledges and receivables.

7. Prepares and creates accurate fundraising and other financial reports.

8. Manages back-end website information for all online fundraising initiatives.

9. Serve as the liaison with Blackbaud, manage vendor relationship, problem solve issues.

Data Management:

1. Maintains the quality and integrity of the donor database and all donor data, related files and correspondence.

2. Provides database training for internal partners.

3. Designs special tools, such as donor dashboard, as needed.

4. Provides support to the Development team in the areas of donor relationship management, reporting, cultivation, prospect research, and solicitation strategies.

5. Resolves enduring data-related problems, using consultations and technical knowledge

6. Manages donor list and segmentations for e-blasts, campaigns, invitations, lapsed donor strategies and welcome mailings.

7. Supports the events team at annual gala and other fundraising (and non-fundraising) events.

8. Prepares mailing lists and e-blast lists as needed to support direct appeals and events.

9. Supports Communications with data segmenting, donor info, and Annual Report listing.

10. Manages Blackbaud Advanced Wealth Insight Solution

11. Organizes and maintains donor records, both physical and electronic.

Development and Implementation of Fundraising Programs

  1. Administers ongoing operations of fundraising programs in Luminate Online.
  2. Builds and maintains donation forms and related assets, such as fundraising appeals, thank you emails, web pages, and surveys
  3. Assist in development of strategies, timelines, managing audience segmentation
  4. Accurately import/enter gift details into Raiser’s Edge
  5. Provide analysis of data to measure effectiveness.

Other Essential Duties and Tasks:

  1. Assists in the planning and execution of other Finance, Development, and Agency priorities.
  2. Works closely with the Development Team on special initiatives and development unit policies.
  3. Maintains and updates the current formal policies and procedures for this position.
  4. Creates and tracks Agency relationships, including cultivation.

As Needed. Other duties as assigned by supervisor.

Knowledge, Skills and Abilities Required:

1. Computer Skills: Proficiency in all major component parts of Raiser’s Edge (required) and in all programs of the current Microsoft Office suite.

2. Bachelor’s degree.

3. Minimum 5+ years of administrative Raisers Edge NXT donor database experience; nonprofit or foundation environment preferred, and luminate online.

4. Broad knowledge of all aspects and methods of fundraising.

5. Data-driven style and a technical prowess and proclivity toward problem-solving for teams.

6. Excellent organizational, time management, written and verbal communications skills.

7. Proven ability to create and manage complex information and budgets.

8. Ability to multi-task and prioritize.

9. Ability to exercise independent judgment when appropriate; strong decision-making skills.

10. Successful track record of collaboratively working with a wide range of constituencies, both internal and external.

Additional Desirable Qualifications:

1. Knowledge of and skill in using desktop publishing, presentation and project management software applications.

2. Knowledge of and skill in using HTML, WordPress, and Mail Chimp.

3. Knowledge of lesbian, gay, bisexual, transgender and questioning orientation/sexual identity issues.

Regular Working Schedule:

1. Regular work schedule: Monday – Friday, 10:00 pm to 6:00 p.m., flexibility required at times to accommodate agency needs.
