JOB SUMMARY:
Development Specialist is responsible for planning, organizing, implementing and attending various fundraising activities that include but are not limited to special events, written appeals, etc. She/he works closely with all staff members to integrate all organization’s efforts. Must be able to work independently with a minimum of supervision.
ESSENTIAL FUNCTIONS OF THE JOB:
- Attend monthly board and committee meetings. Present a report of activities and events to the Board. Draft all meeting minutes and obtain approvals. Arrange meeting rooms and refreshments. Ensure timely distribution of meeting materials. Set up and send out meeting invites (Zoom and in person meetings).
- Responsible for all Volunteer onboarding and paperwork processing. Coordinate HR & employee health duties. Secure badges. Obtain annual flu shot documentation, annual education and confidentiality documents. Audit volunteer files for completeness for Joint Commission review.
- Prepare monthly reports for finance. Coordinate accuracy with Foundation’s Business Manager; research and correct any discrepancies. Assist with data selection and retrieval for annual audits and the Foundation’s 990-tax filing.
- Enter donations into the database, deposit into the bank and prepare donor thank you letters in a timely manner (goal is within 24 hours). Retain and cull donor checks per bank requirements. Maintain check scanning software.
- Database maintenance and updates. Monthly patient data entry. Determine criteria for specific projects such as, annual appeal mailing, event mailings, financial reports and donor analysis then create queries and exports to support the endeavor.
- Work with Graphic Designer to create special event brochures, invitations and advertisements. Coordinate and execute mailings. Plan, coordinate the execution of and advertise all vendor sales.
- Solicit event sponsorships. Recruit volunteers. Have manufactured and manage placement of all signage and donor recognition. Obtain necessary insurance and permits.
- Obtain monthly pediatric dental patient data, coordinating with medical records and the Anesthesiologists’ business office. Submit annual spreadsheet for the community benefit report.
- Develop and solicit a personal list of annual appeal prospects. Create personalized prospect lists for each Board member. Coordinate the printing of envelopes and letters for each Board member to personally sign.
- Create annual donor listing for publication in the annual report and donor recognition wall display.
- Responsible for the content updates and creation of new pages for the Foundation’s website working with web designer and host.
12. Manage Redner’s Save-A-Tape donation program. Request PO’s. Order office supplies.
13. Assist Auxiliary and Foundation Board’s leadership with administrative needs.
14. Proofreading and editing documents.
MINIMUM EDUCATION, EXPERIENCE AND LICENSE/CERTIFICATIONS REQUIRED:
Associate’s Degree in Business, Communications or related field is required. Bachelor’s Degree is preferred.
Four years of experience in development work and some experience working with and managing volunteers is required. Demonstrated excellent verbal, written and interpersonal skills; professional appearance; ability to work independently. High level of proficiency in Microsoft Office package. Proficiency working with Blackbaud Raiser’s Edge or fund raising and donor management software a plus. Ability to learn new software programs quickly. Must be willing to work some weekends and evening hours as required. Must be willing to travel unassisted as necessary to perform duties and attend training sessions.
