Overview

Ronald McDonald House Charities of Western Washington and Alaska (RMHC) supports seriously ill children and their families by providing housing while they receive treatment from Seattle Children’s Hospital. Our facilities are located in the University District, Seattle.

The Development Associate is an administrative assistant role and will be responsible for all aspects processing gifts and donations, writing, producing, and coordinating acknowledgment letters, the data entry and maintenance of the Blackbaud / Raiser’s Edge Software system, and creating reports with the highest level of accuracy related to the management of donor information. The Development Associate reports to the Chief Financial Officer (CFO) and will also support the Development Team with fundraisers, events, initiatives/projects related to the strategic plan, and donor stewardship activities.

Here’s what you’ll be doing:

Gift Processing

  • Responsible for accurate and timely data collection, input and processing of all donor and gift information into Blackbaud Raiser’s Edge NXT donor database.
  • Reconciliation of cash and checks in conjunction with the CFO.
  • Responsible for confirming and processing all matching gifts. Communicate with matching gift companies when necessary to retrieve gifts, make inquiries, complete documentation, and resolve problems.
  • Download and process all online gifts from various sources.
  • Maintain database accuracy and integrity through careful entry and thoughtful cleanup projects.
  • Maintain data, donor, guest, and partner confidentially.
  • Tracks Board of Directors pledges and gifts and verifies theses pledges against the short- and long-term pledge receivable balances maintained by the CFO in QuickBooks and make any adjustments as needed.
  • Responsible for any cross training necessary to provide adequate backup to the responsibilities of this position.
  • Accurately prepare and review all gift acknowledgment letters/tax receipts and tribute notifications within 24- 48 hours, identifying opportunities for personalization and reduction of turn-around time.

Ancillary Job Functions

  • Support the CFO with inquiries and reporting requests during the annual audit, budgeting process and other times as needed.
  • Assist the CFO with donor database information as it relates to the formation of program and budget items for grant application purposes.
  • Serve as a liaison between the CFO and the Development Team.
  • Field phone calls and problem-solve while providing excellent service to our stakeholders.
  • Assist in the creation of mailing lists and reports.
  • Assist with monthly financial reconciliations, reporting between QuickBooks and the Blackbaud / Raiser’s Edge Software system.
  • Participate in special projects in support of RMHC.
  • Accurate attention to detail, professional interaction with others in-person, online, and through email, use of critical thinking skills to strategize, develop and implement business plans, create, and edit documents, listen and participate verbally at meetings are required.

Here’s what we’re looking for:

  • 2 years of related administrative assistant experience in a Development or Advancement Office (experience in higher education, nonprofit or healthcare setting is preferred).
  • Associate Degree required, Bachelor’s preferred; and experience and proficiency in Blackbaud Raiser’s Edge NXT database management software required.
  • Computer proficiency in Windows, Microsoft Office, Microsoft Outlook, PowerPoint, and Excel.
  • Exceptional organizational skillsand ability to prioritize tasks; detail oriented; strong interpersonal skillsneeded to interact with staff and donors; excellent verbal and writing skills. Excellent proofreading skills required.
  • Good project management skills, ability to manage multiple simultaneous projects and deadlines.
  • Ability to work as a flexible team member, energetic and self-motivated; ability to learn new software and implement virtual components to events.
  • All employees of RMHC Western Washington & Alaska are required to be fully vaccinated for COVID-19, including all boosters recommended by the CDC on day 1 of employment.

Our Anchorage House in Alaska has 34 rooms and is nestled on the 6th floor of the Alaska Native Medical Center’s patient housing. Patients include expectant mothers with high-risk pregnancies as well as pediatric patients and their families.
