Human Resources Specialist
Position Summary:
The San José Museum of Art (SJMA) has an exciting opportunity for an individual with initiative, autonomy, attention to detail, and a strong work ethic. This 25-hour per week position requires a minimum of four days per week on-site, and reports directly to the Chief People and Culture Officer. It involves coordinating HR operations, including administrative tasks related to recruitment, onboarding, benefits management, and policy implementation. Demonstrating precision, dedication, and a proactive approach, the HR Specialist ensures tasks are accurately and timely completed with minimal oversight, embodying accountability and integrity.
Key Responsibilities:
- Coordinate day-to-day administrative operations of HR team, providing support as needed and demonstrating adaptability in a fast-paced environment.
- Perform routine tasks required to administer and execute HR programs including, but not limited to, compensation, benefits, leaves of absence, disciplinary matters, disputes, investigations, performance management, recognition, morale, occupational health and safety, training and development, while also managing scheduling needs for various meetings, interviews, trainings, and other HR-related activities.
- Manage HRIS data using ADP's Workforce Now for data entry, report generation, performance evaluations, and recruitment activities, ensuring accuracy and integrity across all records, and facilitating efficient HR operations.
- Maintain and organize all physical and digital files accurately, ensuring compliance with applicable legal requirements.
- Coordinate comprehensive onboarding and offboarding processes, including drafting and sending job offers, initiating background checks, conducting new hire orientation, and managing related administrative tasks.
- Serve as liaison between employees and management, providing guidance on HR policies, procedures, and leaves of absences, benefits etc., and resolving basic issues as appropriate.
- Ensure compliance with all applicable federal, state, and local employment laws and regulations, reviewing policies and practices as required, to maintain compliance.
- Collaborate in development and refinement of HR policies, procedures, and practices in alignment with organizational goals and values.
- Assist in recruitment efforts, by collaborating with departmental managers, conducting phone screens, and facilitating the hiring of qualified job applicants.
- Participate in employee disciplinary meetings, terminations, and investigations as required.
- Complete various HR projects as assigned.
- Support administration of employee engagement activities and initiatives to promote positive work culture, including organization of various staff appreciation events and facilitation of team-building initiatives.
- Other duties as assigned.
Qualifications:
- Bachelor's degree in HR Management, Business Administration or related field preferred, plus a minimum of 1-2 years of experience in HR, or equivalent combination of education and experience.
- Current Human Resources certification such as PHR, SPHR, CP, SCP, or similar, highly preferred.
- Demonstrated proficiency and extensive experience with ADP's Workforce Now HRIS required.
- Excellent verbal and written communication skills.
- Exceptional organizational skills, able to prioritize tasks effectively, and complete them promptly and accurately, with minimal supervision.
- Proven ability to consistently deliver high-quality work independently, instilling confidence in task and project completion.
- Proactive problem-solving approach, adept at tackling new challenges as they arise.
- Strong verbal and written communication skills, with keen attention to detail a must.
- Thorough knowledge of employment laws and regulations, HR best practices and compliance.
- Commitment to confidentiality, professionalism, accuracy, and teamwork.
- Proficiency in Microsoft 365, including Outlook, Teams, SharePoint, as well as Word, Excel, and PowerPoint.
