Status: Full-time, salaried, exempt

Hours: 7:30 - 4:30, with flexibility for earlier mornings, nights, and weekends as needed.

The Director of Advancement Services will be a student-centered colleague who embraces our ideal of Gentleman, Scholar, Athlete. The Director of Advancement Services is responsible for overall fundraising-data management and support for fundraising efforts in the Alumni & Development Office. The position ensures the highest level of data quality. The Director of Advancement Services must have a demonstrated record of meeting deadlines, collaborating effectively on a team, and thriving in a fast paced environment that prioritizes constituent engagement and stewardship.

Position Responsibilities

  • Manage the Raiser’s Edge fundraising database, constituent records and data integrity in the donor database and digital files, including but not limited to: adding and updating records, correspondence, gift agreements, processing returned mail, conducting data maintenance projects, and managing an electronic filing system
  • Work closely with Alumni & Development staff to ensure data and actions collected from donors are recorded in their records
  • Manage the process of maintaining and updating the database including, but not limited to, performing regular quality checks, annual new student family uploads, obtaining and maintaining constituent email addresses, return address corrections
  • Assist as necessary with the processing of gifts and pledges into the donor database, ensuring accuracy, integrity, and confidentiality
  • Generate analytic database reports, queries, lists, and manage data requests
  • Support email and direct mail appeals through proper data segmentation and distribution
  • Track appeal data, create queries, generate reports, and pull lists from the database
  • Promote positive donor relations by ensuring the accuracy, confidentiality, and integrity of biographical, demographical, and gift record information.
  • Design and implement prospect management protocols and systems and take a lead role in supporting prospect research needs for the Advancement Office
  • Keep current with all system updates and training and routinely update and maintain policies and procedures documentation, as necessary. Stay at the forefront of best practices and procedures for database management and advancement services to ensure the appropriate level of leadership and support
  • Take on special projects to support the School and Development Office initiatives.

Qualifications:

  • Bachelor's Degree and a minimum 3 years of professional experience with database systems, data entry, or development; preferably with an independent school or in higher education
  • Exceptional written and verbal communication skills
  • Strong project management skills with a proven ability to prioritize tasks and meet deadlines
  • Proficiency in Raiser’s Edge & RE NXT preferred
  • Strong attention to detail and exceptional organizational skills
  • Excellent computer skills are required, as well as proficiency in G-Suite and Microsoft Office Suite, including Excel, PowerPoint, and Word
  • Ability to manage highly confidential personal and financial information.
  • Exceptional interpersonal, oral, and written communication skills.
  • Ability to work independently and as a member of a team
  • Engages positively with the MBA community, including faculty/staff, parents, trustees, and alumni
  • Demonstrates commitment to excellence, detail, and ability to prioritize and manage multiple projects simultaneously in a dynamic environment
  • A highly organized, analytical thinker who is able to work with and process detailed information
  • Strong math and computer competency required

Physical Environment & Travel

While performing the duties of this position, the employee is required to sit; stand; walk; use hands to finger, handle, and feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch and crawl; talk and hear; engage in moderately strenuous physical activity both indoors and out; and smell. The employee may frequently lift or move up to 30 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The position requires regular hours at a desk working on the computer and some time in the field attending school events.

This position is based in-person at Montgomery Bell Academy. Occasional local travel is required. MBA is a drug-free, smoke/vape-free campus.
