General Responsibilities:

The Student Programs and Tours Manager has primary responsibility for coordinating student programs, student tour groups, teacher professional development and custom programs, both onsite at the Valentine and First Freedom Center, and offsite. Responsibilities include customer service, staff scheduling (Valentine Educators and Tour Guides), sales and reservations, program development and planning. S/he actively supports the Director of Public Programs and the Valentine’s marketing plan while working as an active team member in support of the goals of the Public Programs Department.

Core Job Responsibilities and Duties:

Administrative Responsibilities:

  1. Serve as principal contact for reservations of school/youth programs, school group tours & associated facility, program and equipment needs/arrangements including ALTRU and data entry of reservations and payments.
  2. Provide excellent customer service through immediate response to school inquiries and greets student groups upon arrival and/or departure.
  3. Manage timely and efficient scheduling of reservations, prompt completion of reservation paperwork and payments, pro-active and positive responses to customer problems and concerns.
  4. Provide confirmations and schedule reminders to school groups and Valentine Educators and Tour Guides.
  5. Manage scheduling of Valentine Educators and Tour Guides, working with the Adult Programs and Tours Manager.
  6. Maintain marketing databases and assist with mailings, aiding and assisting with the promotion of school programs and tours, based on the Valentine’s marketing plan.
  7. Serve as secondary initial contact for reservations for adult programs and tours, etc.

Programming Responsibilities:

  1. Collaborate with the Director of Public Programs to ensure that mission based programming, tours and materials are developed and offered.
  2. Oversee Girl Scout, Homeschool and Family programs, curriculum planning and implementation.
  3. Work with the Director of Public Programs and Director of PR/Marketing regarding web site listings, email and social media needs.
  4. Oversight of materials such as laptops, projectors, and program kits.
  5. Teaching and training of programs as needed.
  6. Assist occasionally with special public programs during weekend and evening hours, including but not limited to tours, outreach and special events.
  7. Organize, design and implement teacher professional development opportunities and manage the teacher fellowship program.

Other Duties:

  1. Handles daily crises and problems, particularly those related to school programs (i.e. teaching and following programs, assisting with set-up of programs, occasional house tours, and occasional front desk help)
  2. Communicates with Valentine Educators and Tour Guides to ensure program readiness and success
  3. Attends staff and departmental meetings as required and special events as needed
  4. Other duties as assigned

Requirements

  1. Bachelor of Arts in history, education or art history preferred.
  2. 2-3 years of experience teaching and/or working with educational programming for youth.
  3. Self-starter with ability to work independently and as a member of a team.
  4. Ability to sell and promote programs to various customers and excellent customer service attitude.
  5. Ability to manage multiple projects and tasks and meet deadlines.
  6. Attention to detail and strong organizational skills required.
  7. Excellent written and oral communication skills.
  8. Computer proficiency, particularly with Microsoft Suite (Excel and PowerPoint) and with web site templates.
  9. Knowledge of and interest in Richmond history.
  10. Occasional weekend and evening work.

Physical Demands:

The Student Programs and Tours Manager must be able to use a telephone, computer keyboard and mouse; reach with hands and arms, speak for extended periods of time and listen. The position requires the ability to walk and sit, as well as to lift and carry objects such as crates, boxes, books and files weighing up to 40 pounds; work around dust and mildew. The Student Programs and Tours Manager is occasionally required to stand, stoop or kneel. Specific vision abilities required by this position include close vision and the ability to focus.
