WIZO USA is seeking a detail-oriented and tech-savvy Database and Operations Associate to join our New York team. In this vital role, you will maintain the integrity of our donor database, support audit preparation, and help ensure the efficient day-to-day operations of our national headquarters.

We are looking for someone who is highly organized, attentive to detail, and comfortable juggling multiple priorities in a dynamic, mission-driven environment. Your contributions will directly support the success of our fundraising efforts and the impact of WIZO’s work in Israel.

Key Responsibilities:

Database Administration

Manage data in Raiser’s Edge donor database ensuring accuracy and completes:

Create and update constituent records

Record donations and pledges accurately utilizing appropriate coding

Generate donor acknowledgement letters and gift receipts for cash and in-kind contributions within the required timeframe

Generate quarterly pledge mailings

Maximize the functionality of the donor database by identifying and implementing best practices to most effectively manage all stakeholder data

Produce weekly gift and pledge reports for Board and Staff

Create queries, exports and customized reports for development, marketing, and audit purposes

Operations

Support day-to-day office operations including maintaining office supplies, coordinating deliveries, and managing phone inquiries

Maintain and organize digital files and documentation via SharePoint

Process vendor invoices and payment administration

Make regular bank deposits and ensure accurate financial record keeping

Assist in the collection of records for the annual audit

Provide on-site support during events to ensure smooth operations as needed

Other tasks as directed by the Associate Director and USA Executive Director 

Report to the Associate Director 

This is a full-time, in-person position. Some nights and weekends will be required with advance notice 

You are:

Highly organized with meticulous attention to detail

You have:

Bachelor’s Degree  

At least 3 years of work experience, 2 years of bookkeeping or data entry experience preferred 

Experience working with Blackbaud Raiser’s Edge (or equivalent CRM or non-profit database) 

Proficiency in QuickBooks Online, Microsoft Excel, and Word 

Strong organizational and multitasking skills. 

Excellent oral and written communication skills, strong interpersonal skills 

Experience with accounts payable preferred.  

Excellent attention to detail and accuracy. 

Ability to work collaboratively in a team environment. 

Previous experience in a non-profit is desirable.

Compensation:

$50,000 to $60,000 annually commensurate with experience
