LOCATION: Bloomington, MN; hybrid
TYPE: Full Time, Non-Exempt
REPORTS TO: Individual Giving Manager
SALARY: $26.00 – $31.25/hour

POSITION SUMMARY: The Advancement Coordinator supports VEAP’s fundraising and donor engagement efforts. This role handles the daily operations of the Advancement team, including managing the donor database, processing gifts, sending thank-you letters, and analyzing data to support fundraising strategies. They are the main point of contact for donor inquiries and help ensure every donor has a positive experience. The position also works closely with the Finance team to reconcile donations and supports the Advancement team with projects and events.
This role requires strong attention to detail, comfort with database systems and Microsoft Excel, and strong communication skills for working with donors and colleagues.

POSITION RESPONSIBILITIES:
Database Management
- Serve as the lead user of Raiser’s Edge NXT to ensure accurate gift entry, donor records, acknowledgments, and reporting.
- Ensure accurate records by processing and entering gift data, updating donor information and communication preferences, and recording donor communications.
- Generate and send donor thank-you letters, including mail merges and printing.
- Identify and implement improvements that optimize use of the database and maximize its capabilities.
- Create reports and segmented mailing lists for appeals, newsletters, and other print or digital campaigns.
- Develop dashboards and track campaign performance to support data-driven decisions.
Budget Reporting and Reconciliation
- Partner with the Finance team to reconcile gift records and ensure accuracy.
- Provide regular fundraising reports, including campaign, event, and year-to-date totals.
Stewardship and Strategy
- In partnership with the Individual Giving Manager, maintain processes for superior stewardship of current and prospective donors.
- Use donor data to identify trends and opportunities for increased giving.
Donor Relations
- Respond to donor inquiries by phone and email with clarity, warmth, and professionalism.
- Support donor requests and ensure timely follow-up.
Events
- Help plan and execute the annual gala and other fundraising events.
- Manage ticket sales, guest tracking, and sponsor invoicing.
- Coordinate the silent auction, including solicitation, tracking, and the online bidding platform.
Additional Support
- Collaborate with the Advancement team on fundraising and communication projects.
- Perform other duties as needed.
Qualifications:
Education & Experience
- Associate or bachelor’s degree preferred, but not required
- 1-2 years of experience working in database management, fundraising, or related work
- Demonstrated experience with donor databases (Raiser’s Edge NXT preferred but not required)
Skills & Abilities:
- Strong computer skills, including database software, Microsoft Excel and Word
- Excellent problem solving, analytical, and database management skills
- Detail-oriented with good time management and follow-through
- Comfortable learning and using online platforms
- Strong written and verbal communication skills; professional and positive tone with staff, donors, and volunteers
- Excellent customer service and relationship-building skills
- Self-starter with the ability to manage multiple projects and meet deadlines
- Discreet with confidential information
- Able to lift up to 20 pounds
