Official Notes Disappeared in candidate record when I logged in this morning

Has anyone else experienced this extremely inconvenient scenario in enrollment management? It is now impossible to see official notes when in a candidates record making it very challenging to see conversation records for phone calls.

  • So frustrating. Every time there is a release, there is a glitch somewhere. I chatted with someone this morning - they are looking into it. :(

  • We have also lost all of our official notes.  We just got a response that this is "a high priority and it will be fixed with in 30-90 DAYS".  I'm really hoping that is a typo and they meant to say minutes.

  • Unfortunately, I don't think that is a typo. That is the response I have gotten in the past with other "high priority" items. ?
  • Hi All, this is the standard response when something is set to a high priority. We are looking at the bug now and hoping to get a fix in much sooner than the timeline given. When I know officially what is happening and when the fix will go out, I'll update here and via the support case.

    Thank you for this update. I would also like to add that our official note templates are out of date. We updated our acceptance templates in December and the template reflects an old version. I'm sure all of the Enrollment Manager users would agree that this is bad timing since many of us are going out with our first round of acceptances very soon (this Friday for us) - do we update the templates now (for a second time) or wait for the fix?

  • Hi All, we have a fix going out first thing tomorrow morning. Meredith, your template not updating would not be the same issue, and I'm not aware of any reports from other schools. I would encourage you to report your issue to support so we can make sure we have a record of it.

  • We can't see our's while in a student record, but can in the top gray bar to the left of your name.
  • Our official notes disappeared last week but then we realized that they suddenly were pending and needed approval. (The notes that disappeared did not need approval.) I put in a case that is being worked on but no fix yet.


    The Academic Dean and I (Registrar) set ourselves up as the monitoring team today to approve them and hopefully have them reappear, however we can not figure out how to approve them. BB is closed today to chat. Can anyone tell us how to approve them? Seems like it should be straight forward and intuitive but it's not. Thanks for any insight you can give!
  • Hi Linda, the bug associated with this thread has been fixed. Official notes associated with the candidate record do not need to be approved, are you sending them from Enrollment Management as an admissions manager? I'm going to let support take this one, but I'll keep an eye on your ticket.

    Thanks for reaching out.

     

    The official notes were sent from the Academic
    Office weeks ago and appeared on the students? records fine. Then
    we noticed last week they were no longer on the students? records
    and were listed as pending. For some reason they changed to needing
    approval. That is the step we don?t know how to do.

  • Ah ha!  So this would definitely be a different problem from the one described above dealing with candidates. I'll touch base with Jacqueline one of our academic product managers so she can keep an eye out for your case. I'm going to close this thread for now only because the bug above has been closed.
