Clean Up

Care to share any good clean up queries you do on a regular basis?  I have an amazing volunteer helping me while social distancing/staying at home.  This is a good chance to utilize this and tidy up somethings....good examples I guess are ... missing titles, first names, etc - I know we got Altru with some canned queries that could help but we didn't do too too much of that in the beginning...why not now?

    One of my favorite data cleanup queries is for Different Last Names (see attached).


    This query captures spouses with different last names.  I run it, then open it in Browse and make sure the Primary Addressee field is set correctly to Joint Informal Different Last Name.

    One item I've been trying to get cleaned up and to get our data entry folks to pay attention to is making all employees at an organization into Contacts for that organization, so the org address will appear on the employee's Contact tab AND be linked to the org's primary address. While not critical, it can be helpful for catching duplicates if someone later registers using their business address, and in Mail Preferences if someone wants certain mailings to go to their work address rather than their home address (Board members, e.g.).


    Another item if you have a lot of event sales online is to make sure event registrants that appear to be in the same household (same last name and address, for example) are actually added as members of an Altru household record. This will stop the Constituent Merge process from trying to merge two family members' records if their names are too similar. Of course you can always mark them as "Do Not Merge" but I prefer adding them to a household and establishing a spouse or "family member" relationship instead.
