Report needed - Student birthdays for a specific month

We are looking to print off student birthdays for a certain month.  We announce each birthday on their specific day and have always just printed off the report the month we are in.  Were can I find or make this report??

  • I don't think you would be able to filter a list to only pull a certain birth month, since the field is the whole birthdate. I would make a list of all students and birthdates using a basic list, then export to excel. In excel, I'd add a column and input this formula =MONTH(B2)   (B2 is an example--it would be whatever cell that contains the date). Copy that formula to the rest of the column. (If you're unfamiliar with Excel, a trick is to double-click the bottom right corner of the cell and it will copy it to the rest of the column.) Then sort the sheet by that column.

You can also pull out the day with =DAY(B2) so that you can sort by month and date.
  • Much easier than my way!! I didn't realize there was a birth month column - that's great.

Would you happen to know if there is an easy way for Faculty to create birthdate lists for those in their homeroom? I did create a List and made it available to all, but when I impersonate a faculty member, it is not showing up.

  • @Jennifer Miller This may not directly answer your question, but I'm wondering why teachers couldn't see the list you created. For the list to appear in the “List” search box for teachers, I believe it needs to be a basic or advanced list created under reporting rather than the typical sky lists that you can create throughout the system. I ran afoul of that a few times, before realizing that I needed to make basic lists for teachers. You can give access to specific roles (or individual people) for each basic or advanced list. Otherwise they need a role that includes access to a student list, or the sky reporting role, to see student lists even if the list setting allows others to view. When our teachers go to “Reporting” in Academics, the only lists available to them are infractions lists.

Were you able to create a student list by homeroom? This was something that took me a while to pull off, but if I were doing this, I would create one list for the school that sorted students by homeroom and share it with the teacher role. Then teachers can just grab just their student info from the list. I have an advanced list that sorts by homeroom, so I would add a column for birthdays to that list. If you need guidance on creating that list, I can show you some screenshots of ours, but I believe I started with a template that exists under reporting.

We actually created a calendar category for Student Birthdays. I use a list to create an import at the beginning of each year to add a calendar event for each student birthday so that faculty and staff can view student birthdays on the calendar. That's how our head of school and department heads know which birthdays to recognize in announcements etc., and teachers can see their upcoming class birthdays on the calendar. Then obviously I have to add and remove students manually to the calendar for mid year withdrawals or enrollments.
