Suggested Altru system role for intern user?

I'm setting up an intern who is going to be doing a small amount of data entry -- such as correcting addresses, editing notes, editing email addresses, etc. I am looking at the various Altru roles to assign his username and it looks like the Development Data Entry role is closest but when I tested logging in as that role, Altru did allow me to delete a constituent record, delete another user's query, and make changes to membership programs. (And the delete right role is definitely not assigned, just the Dev. Data Entry role.) I wanted to see how problematic this could be, and if other organization have similar limited data entry users and what roles they are assigned.

Thank you!

  • Hi Christina,

My suggestion would be to have a strict policy in place about deleting any aspect of a record in Altru along with training. I have high level permissions and it is very rare that I ever delete a record (outside of the merge process), so it would be very unusual for a casual user to make that attempt (IMHO).

  • I'm with Elizabeth on not deleting records. It's rare that I ever do that. If you want more than what is available in the Development Data Entry role, you may have to add additional roles. I know everyone worries about proprietary information, but I assume all volunteers sign an agreement with your organization just like all employees with database access. Check with your HR, but this should cover it.

Altru was built on the premise of everyone having the ability to access the data they need to do their job effectively and efficiently for the overall streamlining of the organization. At my previous organizations and current, we open up as much as we can for employees and some volunteers. Our thought is that if they are curious about learning more about Altru, it's great job development for them.
