Workflow for Online Gift Acknowledgement

Hello,

I'm trying to figure out a way to use workflow emails for online gift thank you's, My thinking was that I could use the criteria of online gift subtype to trigger the workflow to send the online donor an automatic thank you email. However, gift subtype is not an available filter - just gift type. Does anyone know a way that I could specifically target online gifts? I thought maybe a gift attribute, but that is not a filter option or an option in constituent lists. The only other way I can think of is creating a new static list in database view every week, and then adding it to a workflow? But that doesn't help us automate the process much.

Thanks so much!

  • I always use Online Express for creating donation forms/processing gifts, and a thank you can be generated automatically there. (I'm still stuck in the old ways of database view for a lot of my work!) No workflow necessary. But I assume you're not using OE for your gifts?

We've been working on this - not so much as an gift thank you but as a new donor welcome. There are some gifts I want to filter out - because we get online gifts from a few portals, and Gift Subtype is exactly what I want to filter out as we use that to flag those portals. If only we could send to a Gift List, not a Constituent List! We started with a static list that we applied the workflow to on a schedule. It saved a bit of time, but not great. My cheat now is using the Last Gift, and then appeal filter. It does mean I've had to create more appeals and some then need to then be added together for a proper report on a certain ask but then it's easy to exclude and include just the gifts I want. Again, not ideal, but does the job for me.

Kaileigh Sweeney‍ you should be able to do this in Power Automate with the NXT Connector. You could pull a list of gifts and then put a condition statement in to just send to those with the online gift subtype.

Hi Dan, doesn't using that function require extra fees? Blackbaud is expensive enough, we just can't justify adding extra costs onto the pile. It would be nice if NXT had more a bit more flexibility on it's workflows to allow us to really max out using the idea to it's fullest potential.

Aldera Chisholm‍ I believe you are correct that there is an extra cost for a Power Automate license (looks like $15/per user per month), but I think there are some steep discounts or free options for non-profits. Admittedly, it is included with our current license so I am not sure of the exact cost.
  • Hi Kaileigh – just wondering how you got on with this? as I’m also looking at how best to set up workflow emails for online thanking.
