Check In Check Out Documents Replacement Sky View?

Classic View allows us to check out a document, make changes and check the document back in with the changes. It was cumbersome but worked. According to the BB Knowledgebase, SKY does not offer the check in check out feature. My assumption was that the procedure would be easier, perhaps making the desired changes on the document within the SKY platform. The answer in Knowledgebase states that you must now do to update your documents is to save your documents locally, edit them and then re-upload them to BB Grantmaking SKY View. This is making an the process more time consuming! Please find a fix.

    This is very frustrating! we need to be able to change documents and save them. Please tell me this will be resolved!

    This is a huge issue for us as well. My assumption was that this feature would be made easier in SKY by having an open document editable and saved without the check in feature. Agree that the SKY process is more time consuming. Please address this issue.

    Totally agree. How will someone know when another staff member is working on a document? On top of the time consuming debacle within Blackbaud, not to mention the glitches, do we have to email the team every time we are going to edit a document? Multiple staff make comments on our write ups. The brightest minds in R & D must be able to come up with something better.

    The not knowing who is working on a document and when is proving to be quite problematic. There needs to be something in place to "lock" the document when someone is working actively on the document.

    I'm concerned about someone working on a document and not checking it back in. This is going to create a lot of confusion and it's worrisome not knowing if the correct/updated document is in the system.

    If Blackbaud does bring this feature back, it would be nice to be able to turn it off and allow staff to upload replacement documents. We have 45 universal users and had them only use Mozilla Firefox because it didn't require the check-in/check-out feature like Internet Explorer. When we did try to use IE long ago, it was common for staff not to check the document back in and then no one could make updates which caused issues. You also can't delete the document if it isn't checked-in even as an admin which was also a problem.

    I know this is from a while ago, but I'm wondering how organizations are keeping track of who is working and editing a document? What if two people have downloaded the document, made separate changes, and uploaded it again. How do you know what document is the most recent? Time is running out and I'd appreciate any guidance.

    So I was wondering this as well. We are a VERY small team at Petrie, so it's easier to understand who has signed out what when. But the best way I can tell is in the Documents section, you can see under 'Status' who's checked something out and at what date and time - the screenshot below:




    If a document is listed as 'Checked Out' then no one else is to open it until it is checked back in. And no one should check it in without confirming with the person who's checked it out. Hopefully, this function is still an option with SKY ?

    We are also a small team Ken. The check out check in option is not available in SKY. That's my concern. You have to save a copy of the document locally and reload it, so in theory, multiple people could download the document and be editing it at the same time with no way to know what they last one edited is. I would also note that we are currently not using online applications for those out there that have sent some suggestions.

    I'm with Deena on this one. Everyone at my foundation hates the check in/check out, because of these reasons and the fact that many had a hard time with the additional log in requirements. It's very rare that more than one person is working on a document in our workflow. I use a very old version of Mozilla Firefox for the Classic View as a workaround. Down with Check In/Out!
