Assigned solicitor not being automatically added to some gifts
Hey all!
I've been working with Support and we just can't figure this out. So I'm turning to the experts!
I noticed that our assigned solicitors were not always automatically added as a solicitor for a gift from their prospect. Here are the possibilities that I've found so far, but this doesn't answer the questions for all of the gifts.
- Assigned to a specific Fund/Campaign/Appeal: No, there are no specific assignments for the solicitors, so I don't think that this would overrule the "automatically assign" rule
- There isn't a Business Rule that I can see that would affect this
- Recurring gift payments - since the parent recurring gift doesn't have the solicitor assigned (outside of assignment range), then the payments don't have the solicitor added either. I will address this internally, to see whether the solicitor should get credit for these payments
- Date range - the assigned "From" is good, though the "To" is blank. I don't think this is the reason either, because other gifts are getting the solicitor automatically added.
- Soft credit - some gifts that I noticed were soft credit gifts, where a DAF or another org made a gift, and the solicitor is not assigned to the org. The BB team told me that this shouldn't stop the solicitor from being assigned to the gift. However, the only SC gifts I'm seeing with any assigned solicitor are the ones where the solicitor is also assigned to the org.
Even accounting for the Recurring Gift Payments, and the Soft Credits, there are still other gifts that don't have their solicitor automatically applied to their gift.
Some other context is that we greatly shifted our Campaign structure a couple of years ago, simplifying to a handful instead of dozens.
Your help would be super appreciated!!

Wow, you've looked at a lot of possible obstacles.
Going back to data entry, was solicitor entered on the gift at this time or was field left blank/not included in batch fields? Hard to know now for existing gifts but something to watch going forward. Is it a required field?
Regarding what support said " this shouldn't stop the solicitor from being assigned to the gift" - it won't stop you from assigning, but in my experience it's not automatic.0 -
When I had an issue with a solicitor not automatically linking to gifts from their prospect. I deleted the assigned solicitor from the prospects record, saved, and re-entered the assigned solicitor. I entered in a test gift to see if the solicitor appeared automatically and it worked. Going forward when entering gifts through batch, the solicitor is automatically linked. I hope this helps!0

@Rochelle, I may have to try that if I can't find the reason.0

JoAnn Strommen, the solicitor was the "assigned solicitor" at the time of the gift. I tested with batches, and RE autofills the "solicitor" field on the gifts, even if the field is not present in the batch.
Worst comes to worst, we can establish a process to verify that the solicitors' gifts are being properly assigned (in addition to adding steps to the data entry person's process), but if there is another problem going on, I want to solve it.
Thanks for your thoughts!1 -
Shane Littleton I actually run a weekly audit process on a variety of things and one is a dashboard panel to make sure the correct solicitor is applied and find the same as you that recurring gifts and soft credits are tricky spots. I have attached the control report if it is of interest.

Thanks Dan, that's a good place to start to fix errors that sneak by.
UPDATE: Btw, I realized that batches treat the Solicitor field in a very tempermental way. If it's not the last row, then it won't generate the solicitor. And it will only generate the solicitor in the last row if you tab through the fields. As far as I can tell at least. Still no answer for why some of these gifts don't generate the gift solicitor automatically, but I've learned a fair bit!1 -
That might have something do to with the your user options for gift batch. It maybe only picking up the defaults when it moves to the next row.

We ran an audit of our solicitor soft credits and the majority of our gift records where assigned solicitor was not credited seem to be online gifts and gifts imported with Omatic. We are reviewing our gift entry process for these gifts.1

Let us know what you find, Jeannie Goings!
Marie Stark, That was helpful! But according to BB, that setting only applies to how information is pulled from the default row in the batch. The solicitor isn't listed in the default, and it runs on a different calculation. But it was good to know - I think that the "by row" is the default, and that's what we have selected.
I have not found any unifying reason for the solicitor not automatically generating on the gift record.
A few other updates:
- My earlier guess about the last row in the batch seems to have been unfounded on further testing.
- I set a few gift alerts that will pop up in the batch if the gift is being entered for someone who has an assigned solicitor. I hope that will help override whatever issue is otherwise occurring.

Hi Shane. Did you ever have any luck figuring this out? We are experiencing the same thing. In the vast majority of cases, the assigned solicitor is automatically assigned as the solicitor on the gift, but occasionally they are not. In our case it seems to be that when a gift is split between multiple funds the assigned solicitor is NOT automatically assigned to the gift. Anyone have any thoughts on why this might be?

@Kim Salisbury, I never learned why that was the case. We have a fix going forward, with business rules, batch defaults, etc.
If anyone else knows why this might be the case, that would be great!
