Using the Hide checklist option within Checklist

Has anyone used this function yet? How is the parent view? Do they automatically get to see the rest of the steps once the said step becomes completed?

  • In theory it is a good feature - but hiding doesn't prevent them from getting reminder emails - so I didn't use it.

  • I see, thanks for the imput. What if you don't use the reminder notifications? Does it allow the person to see the rest of the steps automatically once the previous step is completed?

  • We use it for the first (candidate view) step on our checklist, which is completing the application form. The families will only see that step until the application has been completed and processed. We do this because we also use self-scheduling for interviews and would like families to do the application first before signing up for an interview.
  • Oh boy, I thought you were talking about the student checklists! oops. We do not use the reminder feature

    @Beth English agree suppressing the reminders from the hidden steps would make them much more useful.

    I wish we could also hide checklists steps based on the candidate “School Decision”.

  • I use the feature to hide the checklist steps that I only want to show if someone is accepted (contract, deposit etc.).

  • The fact that a ‘hidden’ checklist item still triggers a reminder sounds like a BUG; no?

    If I choose not to show an item, it's probably because I want to manage it internally, so why would I ever want to send a reminder to someone who has never seen the item in the first place????

  • Assume we are referring to Student Checklists - We use student checklists for a variety of things. The use of checklists can simplify the assignment and management of a set of tasks that need to be accomplished on a specific timeline by students and/or parents. It is easier to create one checklist for the task and assign all students and then hide the checklist step for the few students that are exceptions to the rule. Since Hiding a step doesn't exempt them from getting communications about that checklist step, we have to create separate checklists for each student with a special exception. Having duplicate checklists just makes it harder to ensure consistency across the checklists. There are several flaws in the reminder features for student checklists. (1) Reminders still go out unless you set a step to complete. It doesn't work like forms-forms in submitted status suppress the reminder. (2) It doesn't have the multi-selection of form reminder notices. You have to go in and manage the reminders as you need them sent. (3) students don't get a yellow bar for checklists assigned to them that are incomplete - they have to actively check the checklist area.
  • @Beth English I was so hopeful when Student Checklists went live, but these flaws have been dealbreakers for us with a couple of specific uses where we need families to upload a document.

    While testing a checklist today (fake student with me as the parent), as the parent, I am not seeing it at all. And since these aren't School Forms, they changed the count shown in the Form(s) to Review bar, but do NOT show in Files & Forms. Argh!
