AP Automation - Pairsoft vs. Ezescan vs. Paymerang vs. Stampli vs. AvidExchange

All three of these vendors were at BBCON 21. Anyone have any experiences (good and bad) with any or all? Who is using AP automation currently and if so what vendor and how's it going??

  • We are using Ezescan for 13 companies and planning on adding more. Biggest challenge is more with NXT. The vendor has to exist in NXT first and be pushed out to ezescan and that has been on and off working. Overall, my staff and clients like ezescan a lot, especially the ease of approval.
  • Thank you for the feedback! Has using EZESCAN eliminated the need for a lot of the data entry that is associated with AP? I did a demo of Papersave about a year ago and while I liked the interface and it seemed easy to use, we tabled the issue due to the cost. FOr the record we also looked at Primepay and felt it was more of a payment system and less of an AP automation solution. ALso, does EZESCAN hve an app available for approvals (I'd like to scroll and approve in my jammies!) :D

  • It very much depends on the quality of the invoices you are processing. The software eliminates data entry for vendor name, invoice number, and date. But the coding still has to be manually entered most times. The WebApps platform does have a built in approval platform and can include dual approvers. It can be used on any device, regardless of what clothing being worn at the time.

  • We use dual approvals so that is a plus for us! Did you demo any other systems before choosing Ezescan? (and literally LOL on the clothing comment! :D)

  • I have demos with Paymerang and Ezescan next week. I did not do a new demo for Pairsoft since I did one last year, however their pricing has changed from last year (new “model”). I'll let you all know how it goes!

  • how long have you been using Ezescan? We tried PaperSave and it did not work for us, too many issues and poor support. We are reluctant to make another change and are using Expense Management for our AP processes because it has the approval down.

  • Interesting to hear this as I really liked Papersave's pitch but it was pricey the last time I looked into this. (We have still not made the jump but plan on implementing a solution in the next 12 months).

  • We are on hold for now. I got an email from Stampli today that supposedly integrates with NXT, so another to investigate…

  • We have been using ezescan for about 1.5 years now. What they originally sold us has morphed into a much better product then we expected.

  • We are looking at Stampli and EZscan. We liked both, but Stampli looks to be our leader. The “payment” piece of automation is not available with BB, but we liked the “invoice” side of the product. We fed some really crappy quality documents into their system and the AI (Bob the Bot) was able to pull a lot of information which was pretty remarkable.

  • Thanks Kim. So the AP portion (invoice and associated journal entries) integrates with NXT but you will still make your payments out of NXT? Was their pricing comparable with the other package?

  • Hi Robin - Yes - we make all of our payments ourselves via FE/NXT, and plan to keep it that way. Pricing for Stampli is high compared to Paymerang and EZ Scan. I am working on negotiations now. :)

    Hi, I just did a demo with EzeScan, yes they an optional approval process, that you could do from anywhere.

  • @Nessa Venida – something to think about – whichever vendor you choose, there will also be integration-related costs around transmitting application data to FE NXT – even if it's just the additional time it takes for downloading and uploading data. Also, sometimes there are bidirectional integration needs as well to consider. In short, it's not just the direct cost of the AP application, but also the related costs of using it effectively in conjunction with FE.
