Imaging Systems

Our clinical and business systems use Onbase for document imaging and retrieval. Although we don't use it for our RE instance, it is quite powerful and is able to integrate with different applications. We were looking to use Onbase with a different, business application. Onbase has the ability to web scrape and identify which individual we were showing on the web page. From there, you could right click and retrieve all of the documents associated with that individual.

It's a small market for the product, and not many organizations attach all gift backup in RE. I've worked with more who have their business office receive and scan checks immediately, and they use software from their bank because it deposits at the same time. They don't attach in RE, because there is already an image available on a secure drive if anyone needs to reference it.

When I have encountered organizations whose development departments are attaching backup in RE, they were using Papersave.

Ezescan seems to be doing the same thing, but they are in Australia and that may be troublesome. Or not.

Some organizations seem to be using the Attachments function in webview, but I don't know the process they are using to get digital images of the items being attached. They may be scanning separately and attaching manually.

We also use OnBase at Jefferson University and Jefferson Health. When I worked at Princeton University, we also used OnBase there as well. It is a very powerful document management system. It integrates with Outlook and multiple systems. If you are able to build links within a web environment, you can link directly to any document within OnBase.

@Karen Diener As a newer BB partner, our RE and NXT clients are using our Offline Giving solutions. There are a few key differences when compared to PaperSave: (1) Our solutions are check and check-sized Solicitation Slips focused; while we do full-page with check, less than 5% of our clients have this option. (2) The images remain in a repository and are not attached to the gift record, instead an optional hyperlink is used. (3) Our solutions are by subscription or leased for 5-years and include all imaging hardware; and, (4) about ⅓ of our clients do Check21 depositing with their qualified bank which eliminates the need to re-scan the checks through the bank's check scanner.

@Nilsen Septon we made our own ‘system’ using SharePoint and Power Automate. Scans are saved into daily folders in SP, scan doc names are included as a gift attribute, and Power Automate connects the two (with links in NXT as gift attachment, and as metadata in SP). It isn't always perfect, but it also isn't an extra cost for minimal extra effort.
