email text from Outlook into Action in NXT

Hello!

I see when you are in web view and click on an email it will open up asking if you want to create an action on the record but it does not put the email content in the action.

Is there a way to make this automatically happen?

    The text of the email is loaded into the action when I am in Outlook and click the Blackbaud plug-in. You may still need to click the plug-in to add it once you have entered your email text.

  • I've been experimenting with this today and got the same results as you. However, when I started in Outlook, with the Blackbaud for Outlook extension panel visible, It searched for the email address as I filled out the “to” line and rest of the email. I then selected the blackbaud name it presented in the panel, clicked save in the same panel, then sent the email the normal way through Outlook. When I went back to RE NXT and checked out that person's record, the email appeared, with its complete text, in the “actions” tile. Now it has stopped working for some reason so I've attempted chatting but the chat line is busy so I'm here.

  • Just an additional note. It does not seem to work if you click on the email address from within RE NXT, however. That would be best case scenario and most efficient.

    Just to note we provide an automated email recording system that you can just leave and forget - SmartEMAIL (it is a paid for product). You set up your rules (all emails, certain filtered emails, only sent, only incoming etc., exclude internal emails) and the emails are recorded in NXT on the records with matched email addresses automatically as actions. You can also choose to have an ‘create if constituent does not exist in RE' and so on… you define the rules but then it just gets on with it in the background.

    This is more akin to how Salesforce and other platforms records emails. So you are not reliant on someone remembering to do it, it is just set up to automatically record emails and then anyone looking at a constituent can see a full picture of communications within the actions area.

    Anyway, just thought you should know there are other options out there.

    I think the only way to make this happen is to log the email from Outlook using the plugin, rather than saying “yes” to creating an action when you click on the email address in web view.

    We are hosted and when I go to Outlook, options, etc. the RE plug in is not there. The knowledgebase instructions tell me to find this file on my computer but I do not have RE loaded on the computer so what do I do?

    Hi @Joanne Felci - Make sure you are following these instructions KB Article 112741. You'll want to start in the Marketplace and select the option to initiate the Blackbaud for Outlook connection. You will need to involve your environment admin (if that is not you) as well as the admin on your organization's Outlook/Office 365 account.

    The Outlook plugin is an add-in for Outlook - do you have a button on the Outlook ribbon that looks like this:
