Copying Dashboards for Different User Types

Hello. Does anyone know how I can copy dashboard parts as a Client Admin to a View Only user? As is, I can only copy from the same type of user to another and that seems odd. Thanks.

  • Hi Magda, I'm not sure if it will work with view only users. but what I have been doing is creating a dashboard, or what I refer to as a ‘tab’ and then sharing that, which essentially is just sending a copy of that dashboard/tab to a users desktop. Hope that makes sense. So rather than copying a part, it's the entire thing, with one or multiple parts. Bad screenshot, I don't call the share button a tab, honest ?

  • I believe it has always been set up that you can only copy dashboards to/from like license's. I was hoping with SKY they could adjust that because it would make it much easier than creating new dashboards for others.

    I had thought about doing what you suggested but as of now, BBGM will only let me share the whole tab with those that have the same “user type” as myself so I cannot share anything with board member, view only, or any other level. Seems a bit counterproductive but I don't know how to get around it.

  • Thank you for the information, Tania. This is my first time sharing dashboards and the way it was presented at the trainings made it seem like one could “share” dashboard parts with folks across the organization. It certainly did not clarify that one has to create dashboards/dashboard parts for each individual user that has a different user/permission level.

  • That's very frustrating. I know it was one of the, many, gripes I had with Gifts Online, being admin but unable to share a part with a user with less rights. So when I found I was able to do it within SKY it made things a lot easier than trying explain creating a dashboard part to a colleague who has just mastered basic searching after 4 years.

    However it raises the question, why would it work on our setup and not yours? We don't have board members users or view only users to test on, but I can share a desktop to any other user regardless of their level. I seem to recall we made a request to have some changes made to the default permissions for our users when we first bought into GO. I obviously blocked it out of my mind as I type I now remember the nightmare of going through a long spreadsheet and trying to decide what the permission was, if we needed it and if so, who could do what. We use the system a little differently from the norm and have staff with differing permissions than the ones that come out of the box so we had to reconfigure them. It's likely you just need a setting enabled on your admin user configuration.

  • If it Helps, your system adminsitrator of the Sky platform, should be able to temporarily adjust the user level of a profile… so if you wanted to copy something from client admin level to a view only level, they can change the client admin profile down to a view only…. then you will be able to share the dashboard across to the view only user….. but they will have to remember to change that first profile back up to a client admin afterwards…

    Im lucky to be system admin for my organisation - and I have done this recently.

  • Hi Louisa. Thank you for the idea. I tried that since I'm the system admin but view only users are not allowed to crate or share profiles. Sounds like I'm doing something incorrect though…

  • Thanks, Mark. So if I understand correctly, you are able to do this but the only way of doing so is by asking BB to change your standard settings? It does sound painful.
