Converting to recurring gifts in NXT

Hi all,

We have always run recurring gifts in the database view and are curious if anyone has successfully converted their recurring gifts into NXT.

We have never batched in NXT, so I'd love to know more about:
- Viewing NXT batches in RE database view
- How are GL posting reports created for the web view gifts? How do you handle saving a report of these gifts or producing a debit/credit report for passing to accounting?
- Has anyone made this conversion and loved it? Hated it? Any pro/cons to share?
- Is there a report for gifts that failed to charge?
- If the retry also fails and a $0.00 payment is added to the record, will the gift try to charge again on the next installment?
- We use NetCommunity for online giving. If a new recurring gift is added in NetCommunity, do we then have to go into NXT for each of those and convert it to an automated recurring gift there?

I've read some knowledge articles, but can't quite get these questions answered. I'm open to additional article suggestions though!

Our current process to give context on how we process and post gifts:
- Run a query for gifts with an installment due on the 1st, 5th, or 15th
- Compare results to a hard copy excel list of gifts we're aware are due on those dates and reconcile any skips from the previous month's declines.
- Go to batch and automatically generate transactions/payments from query
- Create EFT Transmission files in the batch
- Commit the batch
- Post the batch to GL and save posting report
- Place posting report in journal folder to integrate to accounting overnight

    Hi @Jayme Fancher - Here are the answers to your questions:

    • You can only view Web View batches in Database View after it has been approved/committed.
    • GL Post Reports will remain the same. Gifts received through Web View will work within your current process for posting gifts.
    • I did this conversion at my last org, and recommend it to clients in my current job. It gives you back so much time, as you would no longer have initiate processing Recurring Gift Payments anymore. The downside of this feature is that it currently does not include Pledges, and you will need to run Pledge Payments manually in Database View.
    • If a Recurring Gift Payment returns as failed, it will be listed within that day's Recurring Gift Payment Web View Batch as $0.00 gift with the exception information included in the comment field.
    • The failed payment $0.00 gift is not added to the record until you approve it, it appears as a pending gift. I recommend you set up an additional Batch within Web View to move these failed $0.00 payment records into, rather than approving/committing them to your system.
    • If the Recurring Gift fails, the system will continue to try to run the Recurring Gift for each upcoming payment unless you change the status to “Hold”. When choosing a status “Hold” can be changed back to “Active” whereas “Terminated” cannot be reversed.
    • Any new Recurring Gift added through NetCommunity will need to be manually converted in Web View into the Automated Recurring Gift feature. There are a few options from partners within the NXT Marketplace that can assist with doing this in bulk. I recommend you look into creating an NXT donation form specifically for recurring gifts, this will save time in the long run, as you will not need to manually process the original Recurring Gift through NetCommunity and then promote it in Web View, but rather it would only need to be approved/committed into the system.
