Grants, Project, T-Codes.... Trying to decide which way to go tracking and reporting on this grant we will administer over 3 agencies

I am looking for help from someone about setting up grants. I have watched some of the grants and project videos but I still have some basic functionality questions that can help me determine whether to use grants or projects for tracking and reporting purposes across multiple years. Also I still do not understand how to use the transaction codes.

  • We use projects, have never used grants so I am curious as to the difference. If its a large amount we usually create a new project.

  • It's one more level that can cross projects. Say you want to track grant costs that are included in 5 projects. Add the transaction code and enter in ap, journal entries, etc.


    Works well for grants, endowments, and if you have wierd grants that group data differently.
  • Hi Marsha, I'm in the same boat (and new to our organization). Looking like I need to set up the grants (and/or projects) in FE and then access them through NXT? There doesn't seem to be any training for grants in NXT that I've found.

    I am currently in consultation with BB's project team for my issue. They have been truly helpful in working through the understanding of my needs and developing a solution using both grants and projects. We should be finished by May 31st. So far on schedule. I am more confident about using these modules…. very excited about not bogging down our general ledger with detail best held in these modules. Check back with me in a month. I will let you know how this project ended up.

  • @AnneMarie SmithOur agency is attempting to implement grants and tracking of available funding/spending on grants through tracking codes. The agency appears to use multiple budgets for each year or varying timeframes. Does your agency have many grants/contracts that cover multiple projects (over 50)? Are these transaction codes implemented and integrated with use with other software (billing, payroll, procurement)? We are looking to find the best method for reporting long term on grants and for each project and reporting unit on our accounts while maintaining true ongoing grant records. Thank you.
