List Running

Hi Everyone, I am trying to find how much money we raised in a specific fund and a specific date range. Each time I run it, I am met with different numbers that are thousands of dollars in difference. My criteria I have been using is "Gift Date, GL Post Status=posted, Fund ID, and Gift Amount ≤ $1.00. Am I missing something? Why is it everytime I run it I am met with different numbers?

    @Rebecca Weber Welcome to the BB Community forums.

    Are you pulling your data in webview or database view? Some differences. As you said “list” I'm thinking you're in webview. So are you using same list or creating new each time? If new are you sure all is the same?

    Are you using a range for gift date?

    Are you considering gift types? Pledge vs. pledge payments?

    I tend to not include what is unnecessary criteria. Do you need GL posted? Do you have gifts that are not? If you pulling gifts, IMO you don't need a gift amount criteria either.

    We have found that there are some pulls from webview that just are not as accurate as when pulling from db view. There are posts in the forum about this.

    @Rebecca Weber if all you want to do is know how much was raised, this is very easy to find from the Fund record itself. In database view, open the Fund record and go to View | Summaries | Fund Summary from the menu. You can select date range and gift types to include, and get a quick summary.

    I always taught this to fundraisers who were nervous about queries and they appreciated it. Queries can get you hung up, plus you usually have to export to Excel to get a total.

    Hi Rebecca, this kind of thing happens to me all the time. First, if possible, I'd run any thing for report using queries in the database view. That might be because I'm still stuck in my old way of thinking but it seems to always go better for me.

    I know you mentioned that you were thousands of dollars off but it might be worth to check how many transactions have changed. Since you have the post status in the query, I wouldn't be surprised if some finance reconciliations might have swung you between runs of your lists.

    Maybe not helpful but thought I'd add my two cents. Hope you get it figured out.

  • @Rebecca Weber I am still trying to figure discrepancies when using NXT webview, as well, vs totals pulled in database view. I have noticed that in NXT webview, that if I have any “split” gifts between more than 1 fund, that the total will show the full gift amount for both funds instead of the split amount.
