Using the Reminder feature for Requirements

BBGrantmaking users,

Can we send a Reminder email to our grantees when their Requirement is due? We are new to requiring Follow Up Reports 12 months after grant has been paid. I'd like to set up a Reminder to be sent to the primary contact on the Requirement Due Date. Is this possible? We are trying to automate as much as possible.

Does anyone have experience setting up/or doing this?

  • @Kecia Haggins Yes, you can send them directly to the grantee. You will want to use Schedule Reminders under the Control Panel Tab.

    There are several steps. In summary, you create an email template and then create settings for when to send the reminders and who to send them to.

    You might want to consider having the reminder come to you first so that you can make sure the fields read correctly with your template. By this I mean, my reminder template says:

    On or about [Date of Grant] [Organization}. received a grant in the amount of [Grant Amount] for [Project Title]. According to the schedule outlined in the Grant Agreement, a Final Report on the outcomes of this grant is due [Requirement Due Date]. Please refer to the success measures below as outlined in the Grant Agreement.

    Success Measures from Grant Agreement:

    A copy of France-Merrick Foundation’s Grant Reporting Guidelines is included. Your report can be emailed to me at [my email]. I would appreciate receipt of the report by October 14, 2022.

    If you have any questions, please feel free to call me at [my phone]. Thank you in advance for your prompt response.

    When I first started doing this, the fields did not always flow well into the template. I might have two periods at the end of the sentence where the project title came in, or the organization or contact wasn't as it should be. If the reminder comes to you first, you can make sure it is correct.
