(Multiple) Event participant with card payment for fees

Hi,

We have a form on an external system that allows users to register for an event. When it comes to an event with a Fee that requires payment, we're using bbCheckout to accept a card payment.

We're looking to create a participant fee and participant fee payment to show the payment being made.

Some questions:

Q: Where do we reconcile the bbCheckout payment into the process? We think we'll need to create a gift to allocate the card payment to and then this is associated with the participant fee payment?

The form also allows the user to sign-up multiple participants. They'll make a single payment for all the participants on the form.

Q: What would be the correct process to split the payment out to the other participants? We think we'll need to create a single gift on behalf of the main participant and then allocate the correct portion out to the participant fee payment for each of the participants. There are other options though so just wondering if that process is sound?

Typically we create gifts using a gift batch.

Q: Would gift batches throw any unexpected issues when it comes to allocating the gift to the participant fee payment as at the initial stage in the process the gift wouldn't yet have been approved)?

Many thanks.

Thanks you for this post, as well! Let's setup some time to discuss your current setup to see where Events in Raiser's Edge NXT can assist you. I will reach out! Thanks!

  • @Justin Muratore that would be useful. Thanks.

Just to answer part of one of the questions.

It looks like you can't create a participant fee payment if using gift patches. Only when the batch is approved can the participant fee payment be created and therefore can't be done in one workflow (without some human interaction). Therefore creating the gift directly without a batch seems to be the option if you need to create a participant fee and participant fee payment in one workflow.
