Emergency Attendance Report

@Sue Andrews Unfortunately it is really difficult to generate a list of students present on a given day, but you can use the Day Attendance List filtered to Today to generate a list of students who have been marked absent. We are also looking for a better solution for emergency attendance reporting and are thinking of implementing School Pass for this reason among others.

@Sue Andrews We struggle mightily with this issue, particularly in our upper grades.

After much consideration, we use several sources during emergency drill:

• An advanced list that shows today's full-day absences for our upper school
• Another advanced list that shows today's absences class by class (and excluding official full-day absences as they are captured in the other advanced list)
• A google sign-in/sign-out sheet
• Teachers' recollection
  

Put together, this does the trick, but as you see, the information is not collated to one single source.

With School Pass can you just have Blackbaud attendance Push to School Pass to use for emergencies to see who is present on campus or do you have to do the attendance in School Pass and have it push to Blackbaud (which sounds like it overrides). We are just looking for an App to pull from Blackbaud, so we can account for everyone. Thanks in advance!

@Josceline Reardon - Take a look at the Accountability module at Ruvna.com. It pulls class section enrollment and attendance info from the SIS. Attendance is updated every 30 minutes.

When you initiate an event in Accountability, any employee can mark any student as accounted for, or in need of help. Rosters are presented by section. Employees can also see any other teacher's roster, and can find names in a master list of all students.

Students marked absent in Blackbaud are marked absent in the Accountability event.

Likewise, employees can mark themselves safe or in need of assistance. You have the option of allowing students to check themselves in as safe or in need of assistance. (This option is useful of for older students if your school has adopted any version of Avoid/Deny/Defend.)

We had so much issue that we gave up - they told us the same thing and said that other schools love their system - that it's so much better than anything else. UGH Not pleased with them and look to replace when our contract is up! We tried just having the attendance code as “School Pass” so all punches came in as that - easy to identify. Our attendance people would spend the time the next day changing based on the reason chosen. We ditch that this year because they said if they were changing anyways they'd rather know that it's not overwriting the faculty attendance. This has worked a whole lot better! The overwriting is what we hated - every 30 min would overwrite attendance for the punches.

We don't use the OneRoster data feeds for Ruvna. The student/parent info and the employee info is pulled from an API data sync that runs daily. Class rosters for students and teachers are also pulled via the API.

We also have several Advanced Lists that they read to automatically create several Ruvna groups for use in both Announcements and Accountability. For example:

• an AdvList that pulls Advisory rosters. An advisor can access a roster to quickly mark students as safe (or not safe) if an Accountability event is launched during an Advisory period instead of during an academic class period. (The API can pull academic classes, but not Advisories or Activities. The AdvLists solve that problem.)
• an AdvList that pulls athletic team rosters. A coach who is off campus with a team when an Accountability event is launched can easily get to a roster of the team members, and mark those who are actually with the team as safe
• an AdvList of residential students and employees who should be notified via the Announcement service of on-campus problems that are related to dorm operations (impending power or water outage, etc)
• a group in Ruvna that includes only students, parents, and employees who should be notified of delays on the bus service via the Announcements service

We also have an AdvList to create a group of all day students, which we used with the Health Screening service during the pandemic. We maintain the list, but don't use it for anything now.

I highly recommend Ruvna's services.

@Josceline Reardon - no programming is required for the API integration. They will provide the instructions for you to allow them to connect to your data.

The hardest part will be getting the Advanced List filters to include only the users you want to include.
