END OF YEAR GIVING STATEMENTS

Please help! We need to pull end-of-the-year giving statements for 3,000 plus records. The web view is not pulling correctly in lists. We have a query with all the information and people. We have built an export, but it needs work.

We are trying to create a merge using Word with an excel doc from an export. How can we make it look like the end-of-year statements that you can auto-send in Web View *silly they don't let you edit or let alone add a tax receipt. How do we create a doc ready for merge with the following info and layout:

Name

Every gift date and amount from 2022 are on separate lines stacked vertically.

Total giving in 2022 is totaled at the bottom.

    @Whitney Shelton - There is a possibility you could do this through Power Automate if you were to create word templates for the flow to populate - similar to the Acknowledgement Letter process. Unfortunately, it is unlikely to look exactly what you'll get out of the canned report in Database View, but you could get it close. This would take some time to set-up and test out.

    @Whitney Shelton, we used to use an export and Word merge doc, until last year when we switched to the canned Reports (custom-tweaked in Adobe Pro). I wonder if the webview statements are able to be outputted as pdf files (rather than auto-emailed) and then edited in Adobe Pro as well?

    Otherwise, if you would like a screenshot of our export and a copy of our Word doc template, just message me and I'll be happy to share.

  • does anyone know if you can edit who the web view statement is coming from and the company name on it - and if so how do you do this?

    Also can you remove the gift types or edit what those descriptions are?

  • @Whitney Shelton, I'm working on this as well. I recently took the NXT course in receipting hoping that there would have been some changes once Blackbaud cut Microsoft Office last year. There hasn't been.

    Unfortunately, the giving statements cannot be edited!

    The instructor recommended using your Excel data file in an email merge. This is done in Word using the the Mailings feature. One type of mail merge available is email messages. You can choose the subject line. The from is whatever email is connected to Microsoft. (This is the part I'm finding most challenging and I need ITs help.

  • @Whitney Shelton I have set up a merge document in word to mirror the traditional Blackbaud forms. I created a query of donors who gave $250 or more cumulative in 2022, and then created an export based on that query. I think it has all of the fields that you mentioned. It is a merge form to print out and mail, but I'm sure you could create the form in an email merge. Let me know if you would like me to share the layout.

    I'm just starting the Annual Statement process.

    You might try exporting a gift statement from RE.

    I have found that I can still pull the a gift report in RE. I create my query. Set up the Gift Detail and Summary Report to include all gifts, then export it as a Word document. After the export, I add the footer to include the Tax deductible statement required. Then I can print them and mail them along with a cover letter.
    For the cover letter, I used to use a Quick Letter. Guess I'll be exporting the list and sending it via a word merge.

    Seems to be working the same as before.

  • @Jamie Monk I found that if I wanted to use the office/department email, I was required to log in to that account in Outlook before sending the emails via word merge. This was the only way I could get the sent emails into the correct email address and not my personal office email.


  • @Joanne Felci yes you can edit the from name and email address. You can also edit the Reply to name, address and subject line. When you are on the Giving Statements page in NXT there is a gear in the upper right hand corner that when you click on it it opens the Statement Settings box.

    You can't remove gift types. You can't edit individual descriptions for just the letter but if you want one of them changed you can edit the description on the Fund ID in database and it will update on NXT.

  • @Michele Badame Thank you - I would like to see what fields you chose for the query. I keep getting EVERY payroll deduction payment for 2022 vs. just a total of all of them. So each faculty member has 24 entries in the spreadsheet instead of one with the total amount. I am obviously not choosing the correct fields.

    @Cheri Harwood If you're running receipts, sounds like you need to change the receipt type on Bio 2 tab of records to ‘consolidated receipt’. This will pull total amount for defined period in as one figure.

    I change all my payroll people using a global change, run receipt, and then switch them back to one receipt per gift so any one-off non-payroll gifts are receipted when made.

    I'm in the process of attempting to create a clean Query to include in an Export to merge into a word template.

    We use the Annual Statement Report in the Database view for all our recurring donor giving. These reports will do lines for each gift with the details you select.
