Department Reports

@Dana Behler Following this on. I would love to hear how other people manage reports for department heads.

So far, it seems everyone sees the whole list of reports created for people to run, but if they run a report, not for them, it would only show the accounts they have access to. When I create a report for a specific user, I tell them the name and suggest they favourite it so they do not have to look through the list. I'm not fond of this at all. Looks very unprofessional. I would much prefer I could assign reports to users. We shouldn't expect our users to have to filter and search for the reports they need.

I use queries to limit access for managers to specific cost centers. We have budget reports for each cost center, and I tag each report with the title of the manager who oversees that cost center. I have the managers filter their report view to their tag and apply it, so that they only see their respective reports when they open their Reporting tab. As long as they leave that filter in place, they don't have to sift through any other report view.

The most common practice is to give users reporting access to the GL and assign accounts to department heads through security in the database view. Department heads can then create reports or use canned reports, and they only have access to view the accounts you have assigned to them.

I think a long-term better solution would be to create a dashboard accessible through a resource tile in mySchool. It gives you greater flexibility in creating custom reports that are easier to read and doesn't require giving GL read-only access to other users.
