Bulk Assigning Contracts - what am I missing?

Is anyone else having challenges with the new bulk assigning of contracts?

I could be missing something, and if you have a great workflow please share, but it seems:

  1. While bulk assigning you can't see what contract type the student had the previous year
  2. After assigning a contract type to a student they still show up as available to assign, thus you can't narrow down who has and who has not been assigned. There's no way to filter out those that have already been assigned.
  3. You can assign multiple contract types to one student and have no way of knowing until you catch it in a list somehow

I could be wrong, and apologies if I'm missing something, but this is insanely cumbersome. I've already caught several kids that have been assigned multiple contracts. And simply assigning the same contract type that a student had last year requires jumping around browser windows or checking against a csv one row at a time.

Can BB at least add a column in the Assign Contract Type list of students that shows which contract type the student had in the previous year (in addition to current grade and current year)?

  • @Jake Kovach not missing a thing! I just spent almost all day trying to get our enrollment live today. It took me 3x as long to get enrollment live as in years prior. The fact that you can add multiple contracts to a student is ridiculous!! That you once you assign a contract type the student shouldn't show up again to assign another contract type. I finally gave up and had pull a .csv and to work from that - then manually remove the duplicated contract postings. The fact that we have to generate posted contracts for the parents to see, still as always, seems ludicrous. Bad start to our enrollment ={

  • @Kathy Hannon thanks so much for verifying! Looks like I'm going to have to continue reconciling against a .csv which doesn't scale but at least I'm dealing with under 1000 records so it's not the end of the world. Hoping some of the previous functionality is restored soon but it won't help until next year as our contracts go live on Tuesday. About 3x time spent compared to previous years sounds exactly right.

    The easiest way to assign contract types is to use the assign contract type import via Core. Export a contract list with this past year's assigned contract types, remove graduates/attrition, and then add the remaining students to the import template. The only data you need is user id, first name, last name, school year label, and contract type.

    Really appreciate this reply! This is ultimately how I'm going to manage contract assignments this year, but it does take a lot of .csv tweaking just based on how many contract types we have, copy/pasting, sorting, and the fact that data import often fails validation because of one stale record or accent character.

    Filters and bulk selection/assigning have been way quicker in past years (even than data import), and I'm really not understanding a redesign that makes it very easy to make a mess of things. Totally not the end of the world, but it's frustrating when a job takes 2x or 3x longer.
