Expense Management Module

We are considering adding the expense management module but were hoping for some feedback from real users before moving forward. Any positive or negative issues we should be aware of in advance?

  • @Lynn Abbott for what it's worth, I like it, it's a nice simple little workflow tool. The biggest annoyance I find is user setup and user buy-in.

  • @Patrick Lunn Thank you for the feedback. User buy in is one of our concerns. I saw in another message exchange that some people had issues with the post date flowing thru to the GL. Have you had any issues with that?

    Overall, it's okay. The biggest issue is that AP cannot see what is out there waiting to be approved. Only the person who submits and the people on that particular approval path will even know that an expense is submitted for approval. The AP department should be able to see everything so they will know if something is stuck waiting to be approved.

    Also, BB assumes that the invoice date IS the post date. This can be changed once converted to invoice in BB, but if you have a prior month closed that happens to be the invoice date, it will not submit.

    Expense management seems to be a work in progress.

    @Jeff Bone did you know that the AP department can now run dashboards to see all of the pending items in Expense Management that could be, as you say, stuck in approval? The functionality came out in the fall – check out this Financial Post to see more details:

  • @Nikki Baldwin Thank you for the clarification. It seems as though you can only see the information if you have a dashboard setup. Is there any other way to view the data?

    @Lynn Abbott if you want to see all of the pending items, the view is accessible via dashboard instead of running a report. Not much to a set up there, though, and it's within Analysis > Dashboards that all Financial Edge NXT customers get included with their subscriptions. If you just want to see your own items, then of course, you can access that within Expense Management.

    Has anyone successfully implemented the expense management module with a direct credit card feed in Canada? If so, what financial institution do you have credit cards with?

    We have our credit cards through the largest financial institution in Canada (Royal Bank) and were informed that this type of integration is not currently available… A manual import of credit card transactions would be required.
