Using Workflow to Create a Welcome Series

Hi! Has anyone used a workflow to create a Welcome Series of E-mails to new donors? If you have, can you provide a description of what your e-mails are? You do not have to be specific, just a general idea of what each e-mail is about.

    @Lauren Fardella - I did this at my past job. It was a 3-part Welcomes Series via NXT Workflow send to new email addresses, there was a 1 day delay between each email - a bit different from your criteria but the email topics should still work.

    1. The first email was simply an introduction to the org with a link to our email preferences form.
    2. The second email invited the constituent to come visit the organization. During the pandemic, this email had a link to a virtual tour.
    3. The third email listed ways the constituent could support the org: from donating, to joining the sustainer program, to volunteering, etc.

    @Candy Reichert - I created a custom field/attribute on all constituent records throughout the entire database. Then had to manually update it weekly (on Friday) - adding the attribute with ‘today’s' date to new constituents or updating the attribute date for constituents with a new email added in the last week. It was time consuming but having the series trigger through a Workflow saved me time in the end, because I didn't have to copy the emails/reschedule them every week. The Constituent List that fed the workflow looked for constituents with the particular custom field/attribute that had a date of ‘yesterday’ - meaning the Workflow would trigger on Saturday Morning, weekly (as long as I remembered to update the attribute).

  • @Lauren Fardella We have workflows for all new donors based on what “bucket” their gift went into (unrestricted, scholarships, and other funds). Emails are fairly similar for each workflow.

    • When they make their first gift to us, an action is assigned to someone on staff to research them and reach out to thank them.
    • After 1 week, they get a welcome/introduction email that specifically thanks them based on what part of our mission their gift supports.
    • After another month, they get a second email introducing our CEO and telling them more about all of our mission areas and links to learn more about some different topics.
    • After 1 year of making their first gift, they get a “happy anniversary” email.
