Create Candidate Checklist for Each Year

I am curious as to what other school best practice is for candidate checklist. Do you create a new one for each year or only use one? We have rolling enrollment so it has been challenging only to keep one template.

  • @Rayna Moorcroft Rayna, we use one checklist (that is how I was trained). We have EA deadlines and rolling admission. It has not been a problem because we put all the deadlines under candidate progress text and our admission counselors convey the deadline information (and how rolling admission works) to the parents. We also send out newsletters. So far it works well. We do not use the checklist step deadlines.

  • @Rayna Moorcroft We do use different checklists mostly because there are different recommendation forms and different interview types for different grade levels. Broadly speaking, we have checklists for PK/K, grades 1-5, and grades 6-12. Each has slightly different entry requirements. Like Coco, we do not use the deadlines, although I'd like to (but with rolling admissions it doesn't play nice with the due date requirements).

    There are some other different checklists that we use, based on the time of year, but generally speaking they all fall into one of those three grade level categories, and the only differences are minor. Then we have some one-off checklists like reapplications where we want to bypass everything and go straight to a decision, but those are only used in specific cases and are not applied to standard applicants.

  • @Rayna Moorcroft I have one checklist and it basically works the same as what Coco explained. All of our applicants require the same items and if they don't, we just waive it.

  • @Rayna Moorcroft Hi Rayna - we use different checklists for the current admission season because of the different requirements for grade levels but we also use new checklists every year because we do have students who will re-apply and have run into issues when trying to use the same checklist. At the end of the admission season I will “inactivate” any checklist that we will NOT be using moving forward.

    We have different checklist depending on the grade applying. I update my existing checklists to reflect the applicaction requirements for the current admission season. When I assign the checklist it will only update the applicants applying for the 2024-25 school year.
