Best Practices - Setting up campaigns / funds - GRANTS & End of Year appeal donations

Hi! I wanted to see what the best way to go about setting up campaigns & funds specifically for grants. Since some of these are requested in the 2023 grant cycle but for 2024 projects, and may or may not be funded (check in hand) until 12/2023 or 1/2024, I wanted to see if the best way to set up with with the year in front of the campaign.

Same question for End of Year appeal donations, as they might be rounding out the corner of December into January.

We are new to Raiser's Edge and in the past we have put the year in front, but we also have not taken a look at best practices or have had much data health clean up for the last (too many) years.

  • @Tracey Bloodworth Great question, Tracey! It comes with a not so great answer, it depends.

    Orgs handle this differently and I don't believe there would be one right answer.

    If it is a fund issue, check with your finance department as those objects have an impact on how you post gifts to your GL and they will need to have input “if” they control that process. If you do manual posting where they have to do any manipulation, they might not care, but if they just import data into a finance system or use FE NXT, it will make a difference if you create new ones and don't update their GL information.

    For campaigns, the ball is in your court. You can update them each FY and then record them when they are received in the Gift. Or you can have a “grace” period at the beginning of each FY that rolls over asks from the previous one and records them in “old” campaigns. Depends on if you put them in for when the gift was requested/applied or received/awarded.

    I'm sure you'll get lots of different answers depending on the person.
