Balance Sheet Mismatch

Hello everyone:

Bit of a quirk popping up in our Balance Sheet Reports that's causing us a headache, and I'm checking to see if anyone else has an issue or has resolved it.

At the end of one of our fiscal years, one of our account balances reads very differently depending on what Chart Organizer we use - we have a custom Chart.

We've reached out to Blackbaud, with limited success- they've checked report filters, access, etc. They've looked at the templates themselves - the custom template is quite simple - and haven't found what would cause the issue.

We've tried using the default chart - and it produces the correct account value and stops throwing off our balance sheet report for the period range. But checking the custom chart and comparing to the default chart yields no noticeable differences, and Blackbaud seemed to agree.

Anyone else experiencing this?

    @Tyler Lester, I know you were hoping for a peer response, but in case you don't hear anything….my thoughts went immediately to validating your custom chart template so you can easily identify what may be missing or duplicating. Sorry if you've already checked this out via your support conversations but just wanted to advise in case you hadn't.

    Thanks for the help! Yes, I've run the whole length of validation reports, default reports, rebuilt the template from scratch, checked if fiscal year is closed/optimized, checked if accounts have proper settings/fund balance…
    No luck there, sadly.

    @Tyler Lester that is very odd! You have a case with support to try to dig in, though? I also thought about the recreation of it, just in case it was just that template that somehow got corrupted but clearly you've tried that already. Definitely something weird going on – hope they get this resolved quickly for you!

    My first thought was whether you validated your custom chart, but it seems you have. Some other things to look for:

    Does your custom chart specify in the filters to only pick up Balance Sheet accounts? (Assets, Liabilities, & Retained earnings)

    Are you picking up all Funds/Net Asset Classes? (Unrestr, Temp restr, Perm restr)

    Are your reports internally balanced? (Assets = sum of Liabilities & Retained Earnings)

    I would run a query on accounts added this period/this year. Usually, this is where the culprit is and try to identify the accounts added. Then see/compare if those accounts are showing in your balance sheet and chart organizer. Hope this helps!

  • @Tyler Lester we had this issue at implementation and had to figure it out ourselves as support nor our implementation partners would take the time to dig in. We ended up doing a full GL export and used pivot tables to build the financial statements using established beginning balances from the prior year. We had issues with account setup that ended up being the culprit. If Blackbaud would offer an accurate trial balance report that kept retained earnings up to date then this would be a lot easier to troubleshoot! @Nikki Baldwin one idea would be to let retained earnings show accurately and roll forward by month, if those months are soft closed. Could that be an option in filters the same way “not yet posted transactions” is an option?

  • @Tyler Lester - this happened to me once in database view and I finally figured out that the checkbox for Include Inactive Accounts had been inadvertently turned off. Once I clicked it back on, no more issues. Thought I would share even though it was not with NXT.
