New (duplicate) constituents created in event

I need some help. We've set up an event, and the RSVPs are starting to come in. However, a new constituent record is being created for participants who were already on the original invitation email. Can someone help me understand why this might be happening?

Thanks!

  • @Olivia Covington Hi! I moved this discussion over to Blackbaud Raiser's Edge NXT. Thanks!

@Olivia Covington welcome to Community, Olivia! For some added background, where did you create your event registration form? Is it in NXT, OLX or what? I know depending on what type of form you use they can use slightly different criteria and depending on what the registrant is entering that information may not match what you have in your system already.

I am assuming you are using RE NXT Event Registration form, since it sounds like new constituent is created automatically in a way you didn't expect it to be.

this article tells you how Blackbaud matching logic works on finding existing vs. create new.

In a nutshell, if BB matching logic cannot find ONE single constituent record based on name and contact info on matching, it will create a new constituent (no match and more than ONE match will result in new constituent).

  • @Miki Martin Thank you! I used the RE NXT Event Registration form. It's strange because the new constituent created has the exact same email as the original constituent.

Thank you so much! This article was incredibly helpful. I noticed that in my case, the duplicate constituent has the exact same email as the original one that was invited. The only difference is that the new constituent record now includes both the husband and wife’s names along with the email used to RSVP. It’s odd that the duplicate has identical email information.

  • @Crystal Bruce thanks for your help!?

@Olivia Covington ah, including both names would likely be why a new record was created. RE isn't going to realize it's the constituent and a spouse in the first name; it just sees the name is different so even though the last name and email match it's going to create a new record as @Alex Wong mentioned. It's a pain but not difficult to correct. You will just have to merge the records and then delete the unneeded duplicate record. Just be sure you have the spouse included on the remaining record and confirm the spouse also has the event information, as well.

aha, that makes sense! Thank you so much for the insight! I'm glad there's an easy fix!?
