Personalized TY letters for each donation

Hi All,

We want to send different TY letters for 1st time, 2nd+ time donors to our campaign. Also, if they gave more than $1K donation in total to the campaign, the recognition paragraph will be different.

We do assign different letter codes when we batch, but in my mind it will be very time consuming if we're going to look up every constituent record before batching to see if they donated to this campaign in the past and if their donation total to that campaign is over $1K now and then assign the relevant letter code.

Is there an easy way to merge such personalized TY letters for each donation in the batch? Just wondering if anyone has done this before?

    @Baisa Bayarsaikhan - You could do this through Power Automate - once built, it'll run automatically and update the letter code the specific code. You could even take it one step further and automate your entire acknowledgement letter process. Here's a blog with more info on this option: https://community.blackbaud.com/blogs/13/8292

    @Baisa Bayarsaikhan How are you running your acknowledgement letters, Mail function in RE or an Export? If you were using Export to generate a spreadsheet, you could potentially use the Total Gift summary field (filtered by your Campaign) or Number of Gifts (also filtered by Campaign) to get the information on the Constituents you want. Then you could use some if-then logic in Word to include the specific paragraphs. This admittedly may be a more cumbersome approach than you want, but it's one possibility.

    @Baisa Bayarsaikhan you might also have luck creating business rules that
    show alerts during your gift batch entry. This would still require the multiple letters but I often like to handle this type of decision-making at the point of gift entry so that by the time you are merging, there is less to do.

    One caveat right now is that I don't know how this will work once more functions are moved to webview. Some gift batch functionality is supposed to release soon, which means there will be Town Hall meetings where you could ask questions about plans for the business rules.

    @Patrick KelleherCalnan We use Mail function, but I like the idea of using the Export although it would create extra batching steps. Thank you so much I like the idea.
