Error message when building a new contract//entering tuition

Hello and Happy New Year! We have had some personnel change that has led to a gap in some of our annual procedures. As an enrollment administrator, this is the time of year where I typically build enrollment contracts for the 25/26 school year. I am following my existing standard operating procedure, but find that when I go to add tuition, fees, financial aid and payment plan information I get an error message. I am assuming this has something to do with our integration with tuition management, and that the folks in our school who interface with that side of things need to update some information in order for it to feed into my contract template. But due to the change in personnel, we aren't sure what needs to happen in tuition management to fix the issue. I am not a global administrator so I can't start a chat to resolve. Can anyone here provide insight into what might need to happen in tuition management in order to build an enrollment contract for next year? I appreciate any and all insight.

    Hi @Nora Dock - happy new year! I'm going to bet the most likely reason for getting an error is that the 25/26 school year hasn't been set up in Tuition Management yet. I would start there, but you can also take a look at this resource for other things you may want to check as you prep for contract season. Hope this helps!

    @Nora Dock The link Kelsey included is a great one and you should guide you through specifics to check. You may be able to determine if the Tuition Management year still needs to be set up or if there is just some mapping that is incomplete if you start to work through the steps you can find through the What should I do to prepare for a new Tuition Management Contract season? link in the resource Kelsey provided. If you get to the grade mapping in Core, and the Tuition Management year is not set up yet, you'll see an error that looks something like this:

    As you can see, we have not set up our 25-26 year in Tuition Management yet, so we can't complete the grade mapping or FA mapping for that year.

    We usually schedule a call with Tuition Management to make sure the school year is set up since not everything (especially with payment plans) can be done on the school's side. Someone usually reached out to us about scheduling that call, but If you have new staff who might need guidance, they can reach out to Tuition Management support to request a call.
