How do other orgs use Portfolio assignments?

I'm curious how other RENXT teams are using their Portfolio and fundraiser assignments. We originally wanted to reserve Portfolio assignments for those who gift officers have talked to and personally qualified as a MG prospect, and cultivation has begun.

We use Prospect Status of “Identification/Discovery” to indicate those we want to meet with and dis/qualify. Do other teams assign them to fundraisers in portfolios? How else do you assign someone to do the outreach for qualification?

Right now, our team is small so it's not a problem, but as we look to add gift officers, I would like a clear way to indicate which gift officer will reach out to which prospect. I welcome thoughts and suggestions others have found useful.

  • @Robyn Rost Hi Robyn! We assign prospects to portfolios as soon as the Development officer intends to qualify a prospect. We use the Prospect status “To Qualify” to identify prospects who are not yet qualified. If the fundraiser qualifies the prospect, we change the Prospect status to “Qualified”. If the fundraiser disqualifies the prospect, we change the status to “Disqualified” and remove the prospect from the portfolio.

    We also added a timeframe of 6 months to the “To Qualify” Prospect status, to keep track of overdue prospects who are not moving toward qualification.
