RENXT Multiple Online Donation Forms for Different Events/Campaigns
Working as a DBA in Advancement office of k-12 school. We have recently switched to BBMS for online donations.
Currently we have a default donations form setup with the embedded link on our site, so all general donations made using that link, associate back to our overarching “Annual Fund" Campaign. Because I am new to this system and would ordinarily manually batch donations through previously used third-party software systems, I have some questions about data entry and how to achieve the same desired data tracking.
Because our separate designations like (General, Academics, Arts, Technology, etc.) are funds under the AF Campaign, my thought is that based on the designation selection of the donor at time of donation I will have to manually edit which fund each gift in a batch falls into, if it is not a General AF Donation, since there is no way to associate each of those designations with it's own fund so that this automatically changes the fund based on their designation selection. I haven't done any of this yet so just looking for confirmation I guess. Does any other organizations have different processes?
Additionally, I had planned to create multiple donation forms, for different events/campaigns linking back to the appropriate campaign they are associated with so as to track the use case for each donation. I know that different Merchant Accounts should be set up for different banking accounts, for bettering financial reporting and I do plan to do that as well. However, for AF in particular I need further segmentation and data tracking. So for instance, Our Annual Fall Fest would have a separate Donation form associated with the Annual Campaign as well as the default form, only I would use this particular forms embedded link for every place we advertise the Fall Fest, for better tracking of where that donation/transaction came from or its purpose. Curious if any other organizations have set up multiple different Donation Forms for different events, or use cases for giving, in a similar way? Or insight into any different but similar processes?

@Stephanie Pagan Generally, I would use an Event form for the Events and not a Donation Form. Those can be assigned to their respective Campaign, Fund and Appeal. They also allow you to track both registrations and donations made to the Event itself.
In the Standard form, you can easily allow users to choose what Fund they want to support. Would that resolve your question?2 -
To add to Christine, I do the same, it works great. I generally have one donation page where the donor selects their fund on our main donate page. I create dedicated pages for email appeals where the donation page link is in the email so that they can be very customized. In the past I worked somewhere where we used forms for our “adopt an animal” program, so we had pictures of each animal on the donate page, and when you clicked through, we had created a separate form for each animal. So, long story short - you can have as many forms as meets your needs, and to make sure the donor has an easy experience! When the gift comes in, it will track which form was used as well, which helps in reporting.

Thank you so much! The event bit was very helpful. I also have put the separate funds on the standard form which allows users to choose which fund but I am noticing that as I approve batches the funds aren't matching so I thought it was because I associated a fund to the donation form itself which would make all donations on that form fall under the same fund despite a designation selection. If that makes sense, I will look into it and make sure it isn't an issue with setup.
