Closing Purchase Orders

In database view this was a way to bulk close purchase orders. Now that purchase orders have been removed from database view, I am trying to locate how to bulk close purchase orders in web view. I am not finding this functionality in web view. Does anyone know how to bulk close purchase orders in web view?

    Just read the Total Web Solution - Out of Scope from Database View KB article 204177 and lo and behold Bulk Close of Purchase Orders is listed.

    • We observed no usage of this feature in Financial Edge NXT database view, so we have decided not to carry over the functionality into web view. You will still be able to create POs in bulk, just the ability to close in bulk will not be available.

    What does that mean we observed no usage of this feature in Financial Edge NXT database view? I used it.

  • @Ed Leiter I have the same issue. I closed my PO's at month end and when Blackbaud flipped the switch, so to speak, I have at least 200 PO's to close one by one. I am not happy.

  • @Ed Leiter - how do you close a Purchase Order that still has a balance at the end of the year? If you have any documentation on that, could you please let me know, as I can't seem to find anything on closing a PO on NXT. Thanks!

    If the remaining balance will not be received, you will need to cancel it. See Knowledgebase article 38544.

    Answer:

    1. Ensure the period from which the PO was posted is open
    2. From the Accounts Payable Records page, click Purchase Orders
    3. Click Close Purchase Orders
    4. Click Close to select specific purchase orders
    5. Under the option If a purchase order has unreceived line items , select Action of Cancel and fill in the information
    6. Complete the remaining options on the Close Purchase Orders screen
    7. Click OK to close the selected Purchase Orders

  • @Ed Leiter - thank you for that, but this was written in 2015, does this still apply for NXT, because we are having issues closing PO at the end of the year?

    How could Blackbaud observe no usage of the Bulk PO close function in database view when people used it. Doesn't make any sense. Take for example the merging of AP vendors in database view which was initially out of scope for FENXT. Was the same conclusion made there too. There was no usage of it. Blackbaud certainly underestimated their customer's desire in retaining this functionality in web view. The response in the idea bank on this has been overwhelming to say the least. It makes you wonder who is making these decisions on what is out of scope for the TWS on certain features. I hope it is not for convenience-sake from a business decision point of view as opposed to a customer point of view.

    Yes. I realize the KB article was written for FE database view. However, I feel it still applies. That is what we do to close out a partially receipted PO. Cancel the part we know will not be received which allows us to then close the PO.
