Third-Party Payments: Unapply from one student and reapply to another?

@Julia Meseck We had a third-party payer make a tuition payment for Student A. That student has now withdrawn, so we would like to unapply the payment and reapply it to his brother, Student B. When we edit the payment, Student A is listed in the Responsibility section under “This payment should reduce the balance of the following accounts.” We can remove Student A, but when we attempt to add Student B, we cannot. Only Student A appears in the dropdown list.

When payments are made by parents (responsible payers) with multiple children, we have the option to select any of their children from the list. Why is this not an option with third-party payers? If it matters, the third-party payment was entered into the system via an import file.

  • @Debi Bell The third-party payer was added to both Student A's account and Student B's account under Third party payers, but they are not set up under Statement Recipient & Payers (no portal record exists for this person). We do this when tuition payments are made by a foundation, corporation, or other entity (not directly related to the student):

  • @Shirley Wagar If you go to the screen Add by Payer and you enter the 3rd party payer name and click on the filed under Responsibility do the student names appear in a dropdown box?

  • @Debi Bell When I go to Add by Payer and search for the third-party's name, he appears twice: one record is responsible for Student A, and the other record is responsible for Student B. I don't know why there are duplicates, as the same information is recorded under the Third Party Payer section on both students' records.

  • @Amy ONeil That won't help as the payment is already associated with the Third-Party. Even if we added the third-party as a relational record, you cannot reassign a payment from one payer to another.

  • @Shirley Wagar The duplicate record may be the problem. I have noticed the system allows duplicates to be added. Is it possible to remove the third party payer from Student B and try allocate the same one as Student A?

    @Shirley Wagar If you want to send me and email with the details, I can take a look to see what's going on. You should be able to have one third party payer that is shared between siblings. And, coming up soon, you'll be able to add these folks as an “additional payer” and put them into a Payer role which will give them access to the payer portal (if needed) but won't give them full parental access to the portal.
