Anticipated Campaign Giving Amounts?

How have other shops stored anticipated ask amounts for an upcoming comprehensive campaign on their assigned prospects? We are hoping to develop a prospect pyramid, anticipated pyramid and an actual pyramid as a way to help evaluate ahead of time roughly where we will be % to goal.

Curious if others have done this and the data infrastructure approach they used to track. (Proposal with different status, attribute, other?)

Also, if anyone has developed a workflow of sorts worth considering I am all ears!!

    @Cara Valentine I'm not really certain of what you're asking here. Are you talking about for a specific ask or for a more general sense. My org uses proposals heavily for specific asks. The only other ask amounts we record are for mailings, and what the appeal options were for their reply device.

    @Cara Valentine For our last campaign, we created a custom field with the campaign target amount. It was a piece of data that we exported to create a report like this in Power BI.

    It’s technically not an official proposal at this juncture, but could turn into one.

    “Official Proposal” is an interesting statement. I think you could still add a proposal, and use the Status to indicate that it isn't “official”. I've seen “identified” before, which means this constituent has been identified and the amount is what the organization plans to ask. Since proposals have ask amounts as well as expected amounts, it is well suited to what you are looking to accomplish. If it doesn't turn in to an official proposal, add an appropriate status. If it does, all of the history is already in place.

    I don't know your structure of CFAP (campaign/fund/appeal/package), so a little hard to say. Base on what I think you are saying:

    • Setup campaign with a goal
    • Setup opportunity (proposal) link to the campaign with ask amount/date and expected amount/date
    • using these data, you can create a custom report on power bi or excel that track actual gift of the campaign to the campaign total goal and the “stage” of the expected amount and date against the campaign goal for forecasting where your campaign would be in the future

    There is nothing default in RE NXT dbview or webview for this, you will have to build it

    I wish we could take this approach, but sadly we are not using the campaign field as we should be. Sounds like you recommend a proposal/opportunity over an attribute.

    @Cara Valentine - Second the suggestion to use opportunity/proposals. There are native fundraising dashboards in Web View that could be of use here, for helping to project revenue from the Campaign vs what's funded.

    @Cara Valentine I've used a specific prospect rating for this data. There's some issues that the data isn't as usable as a rating as other data fields, and exporting can be a chore. I think the suggestion of an opportunity makes sense, as you can easily pivot from theoretical to actual.

  • @Cara Valentine Opportunities, Custom Fields, Ratings etc… all good options. What will determine which options is best is understanding who is in your campaign and what type of fund development approach will be used.

    If these are prospects that will have a one-on-one/major gift development approach, then Opportunity/Proposal is your answer.
    If these are prospects for annual campaign/marketing, then stay away from opportunity/proposals. Ratings would be my recommendation as you can have multiple reviews of the same type of rating over time (there's a date). It's sorta what the field was designed for. It also keeps things tidy and out of Custom Fields that can become cluttered with time.

    But before deciding, always thing of who, what type of approach, how many and what you will want to do with the information (exports, reports etc).
