How to manage event sponsorship solicitations

We have an annual meeting that we solicit sponsorships for. I'd like to pull the sponsors from FY23 & FY24 into a list but also assign solicitors to those sponsors for this year's meeting (may be different than assigned solicitor to the constituent in RE). I have created a merged query for the previous two year's sponsors, but not sure how I can assign these donors to this campaign or appeal (which should I use) and assign solicitors for this event. Then, how can I get an output that includes the sponsor, their last gift amount and date, solicitor assigned for this campaign, etc.?

    “assign solicitors to those sponsors” what do you mean “may be different than assigned solicitor to the constituent”? how are “assign solicitors to those sponsors” coded in RE for FY23 and FY24?

    “not sure how I can assign these donors to this campaign or appeal” Are you asking for suggestion on how to record in RE or how to do it in RE? (methodology vs steps to do it)

    If I understand correctly what you are trying to do, it sounds similar to what we did recently for one of our events. To track the solicitors for that specific event, I created an opportunity for each potential sponsor/those who were going to be solicited for sponsorships, and assigned the opportunity to the solicitor responsible. In some cases the solicitor was the regular solicitor/relationship manager, but in other cases it was a different solicitor. In the opportunity you can assign specific funds/appeals etc. and link gifts when the sponsors commit. For the reporting/tracking we used an Opportunity List in NXT that was filtered for the opportunities specific to the event. If you need other fields, you can also use a combination of Gift List or Constituent List in NXT. It's also possible to export the Opportunity (Proposal in database view) information through a Constituent export.

    Another way to do it…you can also create specific solicitor types, so you could assign a solicitor specifically for the event you are working on and have it be a separate type of solicitor. You can also include dates for the solicitor assignment, so that could be a way to differentiate solicitors for this specific event vs. the donor's generally assigned solicitor. We didn't do it this way because the opportunities allowed us to track a lot more of what was going on in the interactions specific to the event sponsorship solicitations.

    We use the method @Mary Beauclair recommended. We create opportunities for each sponsorship solicitation using the fund and campaign fields available on the opportunities and assign fundraisers to the opportunity. The fundraiser assigned to the opportunity does not have to be the same as the fundraiser assigned to the constituent.
