Inactivation?
Hi! I am wondering what you all do for candidates who did not enroll at the end of an application season. We would usually inactivate them all but one issue we keep facing is that a duplicate candidate profile is often created if a family reapplies. What do you do?

We noticed that when we deactivate a candidate, it automatically disables the parent account (therefore, they can't login and have to create a new one which then also creates a duplicate candidate). When we deactivate a candidate, I immediately go to core to enable the parent account again. This has cut down on the duplicates.3 -
@Amber Buehlmaier At the end of the admission season we deactivate the accounts. Before the next admission season, we use a data import to (re)activate the parents' accounts.

@Amber Buehlmaier Last year, this issue caused major disruptions. I’m new to the school, and we also have a new Enrollment Management (EM) team. Unfortunately, the team chose to bulk inactivate candidate records, which in turn disabled the BBID accounts of all associated family members—including current teachers and siblings of current students.
Disabling BBID accounts has a cascade of negative effects:
It creates duplicate records.
It generates a flood of calls and emails from understandably frustrated parents and staff.
It disrupts the school day for faculty members who suddenly lose access to essential systems.
It prevents current students from logging in to complete assessments or submit assignments.
While Blackbaud reportedly implemented a workaround in 2022 to address this, it's clearly not functioning as intended—I’m still fielding calls and emails from affected families.
In some cases, the records being inactivated may belong to families who only submitted an inquiry in a previous year and never completed an application. Regardless, the solution is simple: please inactivate only the application, not the entire family’s BBID accounts.

I don't want to disable hundreds of Candidate accounts manually, nor do I want to reenable or merge hundreds of accounts manually. Please don't disable the BBID account. Also please extend the date to disable an inactive BBID account to longer than a year.

Hi @Lisa Tulchin - If a parent has both a current student and a candidate, inactivating the candidate will not disable the parent’s account.
If a parent is also a teacher and has a candidate, inactivating the candidate will not impact their teacher account.
Similarly, if a candidate has a sibling who is a student, inactivating the candidate will not affect the student’s account.
If you're experiencing behavior that differs from this, please reach out to Customer Support so they can investigate further.
To help parents who have previously applied and may wish to submit another application, I recommend updating your “Login Apply Text” to provide clear guidance. You can do this by navigating to:Enrollment Management > Admissions > Admissions Setup > Application forms > Login Setup > Login Apply Text.
Adding a short message here can help parents understand how to access their account and begin a new application.
Additionally, when the Admissions Team reapplies a candidate in EMS, the associated parent account will automatically be re-enabled. This ensures that returning families can easily regain access without needing to create a new account.

@Bryan Lorenzo Hi Bryan! I hope you are right about not disabling the whole family bit because I really do not want angry teachers and parents again this year!
Thank you so much for the tip to change the wording on the Login Apply Text. However, your instructions to get to the Login Setup are incorrect. To save someone else an hour of clicking around, the path should be: Enrollment Management > Admissions > Admissions Setup > Application Forms > Login Setup.
I will inquire with my Enrollment Management team to see what email they would like to use, and/or they want to just bulk reenable all recent past candidates.
I admit though that this reapplication process seems so clunky. Can we just not disable BBIDs of past candidates to begin with?

Hi @Lisa Tulchin - Thanks for pointing out the error in the path to the login setup—I’ve corrected that in my previous reply.
Regarding candidate inactivation, this is a business decision schools need to make. That said, the best practice is to inactivate candidates who are not moving forward at the end of the admissions season. This helps maintain clean data and supports more accurate reporting and analysis.
As for the system functionality where inactivating a candidate disables the associated parent account, this is working as intended. If you'd like to see enhancements or changes to this behavior, the best path forward would be to submit an idea through the Idea Bank. This allows the product team to review and consider it for future development.

@Bryan Lorenzo Thank you so much Brian! I voted on some nice ideas I posted earlier. How would you proceed with a parent who doesn't want to reactivate a past candidate, but wants to start a new application for the past candidate's sibling? Would you just reset their BBID login in that scenario?

Hi @Lisa Tulchin - To re-enable a parent’s access, go to their record in Core and toggle the “Disabled Account” setting from Yes to No.

Once updated, they’ll be able to log in again using your Apply link.

If they’ve forgotten their Blackbaud ID (BBID) password, they’ll need to reset it using the automated password reset process. If they’re using a social sign-in option (such as Google or Apple), the password reset must be done through the respective provider’s process.
Once they log in, they’ll be prompted to either:
- Start an application for the existing candidate (Past Candidate), or
- Start a new application for a different candidate.
