Mailing-Organization Address

I am having issues when doing a mailing for our donor acknowledgement letters. It is happening when the constituent is an organization and only seems to be happening when it is a newer created constituent. We want the letter to pull the acknowledgee name, business name and the business address, but occasionally it is only pulling the acknowledgee name and business address OR the business name and address. I can't seem to get it to pull both the acknowledgee name and business name. I have made sure the organization has a relationship that is the acknowledgee and the Org Address tab in the mailing is set for Mail to Contacts with the contact information being from the acknowledgee. Anyone have any ideas?

@Ashley Petty Exactly how are you pulling this information, in an export, RE MAIL? That would help.

@Ashley Petty First off you need to make sure the ORG records that were newly created have the contact in it done the right way. Meaning the IND relationship Tab in the General 1 tab has has the Last Tab Name, First Name, Title, marked as Employee if that is the case, the Contact Type, Box checked for Print Organization Name with Address, Position, Print box check if you want that.

In the General 2 tab, make sure you have the Primary Addressee and Salutation filled in.

In RE Mail, the ORG Address should be filled in like the following.

  • @Joe Moretti Thank you! I think I figured out what I was doing incorrectly. I tend to create new constituents in WebView, and I think I need to make sure I am creating them in database view as that gives me all these options.

I was just going to reply to mention that issue. All of our fundraiser use webview, and will add contacts from there. Of course I use database view to run Acks. I created a query that I run before running acknowledgements, that looks for any contacts missing these checked boxes and fix them

@Sarah Fitzgerald I would never let Fundraisers create records in RE. Only myself and the database manager creates records and makes any changes, hence why our database is pretty much near perfect.

  • @Joe Moretti Mine is as well, I just have a different process than you. I commented to try to be helpful, not to be database shamed.

@Sarah Fitzgerald No one is shaming you at all, so I do not know where that came from. I am just saying I would never let Fundraisers make any changes, since I know how they can mess up things in the database. This comes from 20 + year of experience of seeing this type of thing.
