Project Codes on Balance Sheet Accounts in a Multi-Fund Environment

Hi all,

I’m looking to understand how other organizations using Financial Edge NXT handle project codes in multi-fund environments, particularly when it comes to balance sheet accounts.

In our setup, we have a single cash account and a single accounts payable account, both tied to our 01 Unrestricted fund. We also have other funds, such as 02 Temporary Restricted, where we use project codes to track restricted activity.

When entering transactions (like gifts or invoices) tied to restricted funds and projects, the system assigns project codes to all lines of the journal entry — including the cash or AP lines, which are in the unrestricted fund.

I’d love to know:

  • Do you assign project codes to balance sheet accounts like cash or AP?
  • Do you use a default/unrestricted project code on those accounts, or leave the project field blank?
  • Have you used project restrictions or other settings to manage how project codes apply across funds?

    Our instance of FE NXT does not use project codes at all for AP, AR, and interfund. We have a net asset project set up for each of our allocations (we have 37 of them) and we use the unrestricted net asset project for our balance sheet cash account under 01-10580-99 4999-000010. When we record assets and liabilities, we generally use the appropriate net asset project for the appropriate allocation needed and only record balance sheet items in a specific project if necessary.

    Our account code strings are built with a XX-XXXXX-XX format. The first two digits are the fund code (we have 14) and the last two digits are the allocation, as described above. The five digits in the middle is the account code.

    This set up allows us to account for multiple restrictions within one project, if needed.
