Best Practice - For System-Generated Receipts in RE NXT Online Giving

Hi there!

I’m hoping if you can share some best practices, you have implemented in RE NXT online gift processing, specifically around the system-generated receipt emails.

In our current OLX setup, donors receive a single email immediately after a successful transaction. This email includes a thank-you message in the body and the receipt as a PDF attachment.

However, in RE NXT Online Giving, the process differs: donors first receive a thank-you email upon successful transaction, and a separate email with the receipt is sent only after batch approval. We’re concerned this could feel redundant and potentially confusing for donors.

Would love to hear how you handle the receipt email in RE NXT - particularly what kind of messaging you include to ensure donors can connect the second email to their original gift. Do you reference the donation amount, date, or provide other context to bridge the two communications?

    @Ravneet Kaur The receipting in NXT is optional. My org doesn't use it. We have added the receipt information in the original email.

  • @Ravneet Kaur For most US clients the automatic acknowledgement email along with the appropriate tax language is often sufficient. For Canadian clients, issuing the NXT receipt is a requirement as per CRA. I do agree that having to manually issue the receipt seems a bit of a step backwards when OLX does provide automatic receipt. Most online platforms do the same.

    You might want to include a line in the acknowledgement email that says this is an automatic acknowledgement and your Income Tax Receipt will be provided in X# of days. You will be surprised most donors will not be confused, especially if they are expecting a CRA compliant receipt.

  • @Dariel Dixon Thank you. Our organization is based in Canada, and per CRA guidelines, we are required to issue official receipts for one-time gifts upon successful transactions. For recurring gifts, to issue consolidated annual receipts.

    However, our organization would like to gain insight into what language or messaging other organizations include in the email body when issuing the official CRA-compliant receipt. We're aiming to ensure our communication is both clear and aligned with best practices.

  • @Ravneet Kaur Sample from some of our clients “Thank you for donation to <client name>. Your gift will have an immediate impact in helping our <insert program or mission related statement>. We are grateful for your generosity and hope you take great pride in the important difference that your gift makes in the lives of our participants” You are limited in the number of characters. Hope this helps. I would also mention in the email subject line be sure to include "Official Income Tax Receipt for <org name>
