Changing form when asking for a resubmission

We have two programs running in Grantmaking, and recently encountered a handful of organizations submitting requests to the wrong program. I have manually changed the type and status to the correct program, but the applications are missing a number of pieces of information since our two programs have different application forms. When I attempt to publish for resubmission, I only see the option to publish the form under which they originally applied. Is there a way to publish them for resubmission under the correct application form? Or do I just need to ask them to start a new application?

  • @Jessica Mathews I haven't had this situation myself, but you could copy the correct form and publish it to the program they've applied to. Although the entire workflow/reporting may be off if they're in the wrong program…..

May I ask how the grantees ended up in the wrong program - to avoid a similar situation for myself! :)

I'll be watching for more seasoned responses!

  • @Monica Jordan Thanks for the suggestion! I think I will decline their incorrect application and have them resubmit, since that sounds cleaner to manage on both ends.

I suspect they ended up in the wrong program because they didn't read the instructions. The description has instructions for what qualifies, and a link to the other application type if they don't. In fairness, the link to the other application isn't super easy to find on our website, so I'm working with my web team to get that updated.

  • @Jessica Mathews LOL, if I had a nickel for everyone that didn't read the instructions! ? I agree that is makes sense to point them in the right direction!

I have used a simple eligibility form on one of our programs. I used to receive ineligible applications, so I added 3 simple questions which clarifies who may apply. This has solved the problem!

Another thought - you can edit the “You don't qualify” message that pops up for applicants that don't meet criteria to include a link directing folks to the other program (if that is more open).

Thanks for sharing your experience! :)
